Role Name: Design Operations Coordinator
Schedule: 40 hours per week; 8:00 AM to 5:00 PM, Monday through Friday with one hour of unpaid break

Job DescriptionYou’ll be the operational backbone for one of our creative design teams, ensuring projects flow seamlessly from initial concept to final installation. This role offers the perfect blend of administrative expertise and creative industry exposure, where you’ll work directly with designers, vendors, and coordinate complex project logistics. You’ll gain valuable experience with industry‑specific software while being the key person who keeps high‑end design projects moving efficiently.
Responsibilities- Manage data entry and project tracking in Studio Designer software for proposals, purchase orders, and invoices
- Coordinate with vendors via phone and email to gather product specifications, pricing, and availability
- Schedule and track deliveries with warehouse partners and logistics coordinators
- Compile and distribute weekly client project status updates using Slack and Canva
- Support design team workflow through Slack platform integration and communication
- Create visual presentations and project documentation using Canva
- Manage project timelines and coordinate between internal teams and external partners
- Handle administrative tasks that keep design projects on track and within budget
- 3+ years of experience as an administrative assistant, operations coordinator, or similar role
- Proficiency in Canva for creating presentations and visual communications
- Strong English communication skills with clear phone presence for vendor coordination
- Ability to learn industry‑specific software quickly (Studio Designer training provided)
- Experience with Slack or similar team communication platforms
- Bonus if you have AutoCAD experience or familiarity with AI rendering software
- It helps if you have exposure to design, architecture, or creative industries
