Position SummaryWe are hiring a full-time, in-office Customer Service Representative / Office Administrator to support daily operations and maintain strong customer relationships. This role is central to communication, scheduling, invoicing, and overall administrative coordination. Limited remote flexibility may be available after onboarding, but this is primarily an in-office position.
The ideal candidate thrives in a fast-paced environment, enjoys speaking with customers, and is comfortable using modern tools—including AI platforms—to streamline workflow and assist our Business Development Representative with estimates and inquiries.
Key Responsibilities- Answer inbound calls, emails, and customer inquiries with professionalism and care.
- Generate, send, and manage invoices and customer accounts.
- Provide customer support regarding services, scheduling, and billing.
- Assist the Business Development Representative with estimates, proposals, and follow-up communication.
- Utilize company systems, CRM tools, and AI software to improve workflow efficiency.
- Maintain organized office operations including documentation, scheduling, and task prioritization.
- Support the operations team by relaying information, coordinating details, and ensuring accurate job tracking.
- Previous office, admin, or customer service experience preferred.
- Strong communication skills—phone, written, and interpersonal.
- Comfortable working with computer systems, CRM tools, and learning AI-powered platforms.
- Organized, detail-oriented, and able to manage multiple tasks efficiently.
- Professional, reliable, and eager to improve workflow and customer experience.
- High School Diploma or equivalent required.
- Full-time or part-time hourly position (pay discussed during interview based on experience).
