Customer Service Rep, Office Administrator/ Coordinator

A Part Time Receptionist position is available for a busy front desk in the Otterbein North Olmsted Community. Welcomes customers on the phone and in person and responds to a wide variety of requests by accurately assessing the customer’s needs and requests; and then adding personal recommendations and touches to achieve maximum customer satisfaction while complying with all Otterbein policies.
Part Time:Nights and Weekends Responsibilities
- Greet customers entering and leaving the community, using customer name whenever possible
- Answer customer calls and direct them timely and appropriately
- Handle all customer interactions with the highest level of hospitality and professionalism, accommodating special requests whenever possible
- Maintain current file/listing of residents by name and location, emergency phone numbers of on-call personnel, department extensions
- Resolve customer complaints and assist customers in all inquiries in connection with community activities, services, hours, directions, etc.
- Maintain an accurate cash drawer balance. Receive payment for sales (gift cards, stamps, etc.) Reconcile all transactions at the close of each shift
- Schedule appointments and maintain accurate records for on-campus Shuttle
- Distribute/receive keys and maintain an accurate log
- Use a variety of computer programs, phone systems, and emergency systems for multiple tasks and communications
- Ability to handle emergency situations in a calm and professional manner
- Maintain confidentiality of all pertinent resident and partner information
- Special projects as requested
- Other duties as assigned
- Education: High school diploma or equivalent
- Experience: A minimum of 1 year
- Computer
Skills:
Proficient in Microsoft Office - Positive, outgoing personality. Strong customer service etiquette. Previous experience with customer service, problem solving, listening, phone skills, and multi-tasking; proficient in Microsoft Office; high school diploma or equivalent.

- Ability to be self-directed and prioritize tasks; work independently and manage time efficiently
