Compensation: $60,000 - $70,000
AboutThe Role
The Events Coordinator is a highly dependable role responsible for planning, organizing, and executing firm-sponsored events while also serving as a Culture Ambassador for the firm. This position supports client relationships, recruiting, and the firm’s professional reputation—while also strengthening internal culture, connection, and employee experience.
In addition to event execution, this role is responsible for building and maintaining systems that ensure important firm milestones—such as employee birthdays, work anniversaries, and internal celebrations—are recognized consistently and proactively. This role is ideal for someone who is both operationally strong and people-focused, with a genuine interest in creating meaningful, well-run experiences that reflect the firm’s values.
Core PurposeTo deliver polished, well-executed events and cultural initiatives that strengthen client engagement, reinforce firm values, and foster a connected, engaged internal community—while upholding the professionalism and confidentiality expected in a legal environment.
Key Responsibilities Event Planning & Execution- Plan and execute client‑facing, internal, and firm-wide events including seminars, CLE programs, networking receptions, retreats, recruiting events, and firm celebrations.
- Manage virtual, hybrid, and in‑person events from concept through completion.
- Develop event timelines, run‑of‑show documents, and detailed checklists.
- Oversee registrations, guest lists, plus‑ones, attendance confirmations, and on‑site check‑in.
- Be present and accountable on‑site to manage flow, troubleshoot issues, and ensure a seamless experience.
- Research pricing and purchase event‑related tickets, registrations, and passes.
- Coordinate hotels, flights, ground transportation, and lodging blocks for staff.
- Manage registration systems and confirmations, including tracking attendance and follow‑ups.
- Ensure all logistics are finalized and clearly communicated ahead of each event.
- Scope venues and locations aligned with firm goals and brand standards.
- Source, negotiate, and manage vendors including venues, caterers, AV teams, décor, and entertainment.
- Plan and coordinate firm activities such as bingo nights, casino nights, karaoke, and team‑building experiences.
- Ensure all vendors meet firm expectations for professionalism, confidentiality, and quality.
- Serve as a culture ambassador, helping create positive, thoughtful experiences for employees.
- Build and maintain systems to track and proactively surface employee birthdays, work anniversaries, and key milestones so leadership and the firm can recognize them in advance.
- Coordinate internal celebrations, acknowledgments, and culture‑building initiatives.
- Support recruiting, onboarding, and internal events that contribute to a strong employee experience.
- Create and manage event budgets, ensuring cost control and value.
- Track expenses, process invoices, and reconcile event costs.
- Communicate event details, updates, and logistics clearly to employees and stakeholders.
- Ensure consistent branding and protect the firm’s reputation through thoughtful planning and execution.
- Support post‑event reporting, attendance tracking, and feedback collection.
- Colorado‑based candidate (required) with the ability to attend and support events in person.
- Experience coordinating professional or corporate events; law firm or professional services experience preferred.
- Strong organizational skills and attention to detail.
- High level of reliability, ownership, and follow‑through.
- Ability to build and maintain simple systems and processes.
- Excellent communication skills and comfort working cross‑functionally.
- Sound judgment, discretion, and respect for confidentiality.
