We have an opening for a Gifts Order Office Specialist. This is a partially remote position; however, there will be regular site visits to Powell’s locations in the Portland, Oregon area, as well as a weekly on-site meeting. Oregon residency is required.

The Gifts Order Office Specialist is involved in all aspects of gift ordering, including management of replenishment, placement, and processing of gift and other non-book orders with all vendors; entering and managing product data; and troubleshooting problems for the Gifts Department. This position coordinates the timing of gift orders and maintains the ordering schedule. This position works with key people from all locations and departments to develop processes, maintain data integrity and consistency, and train staff on best practices.

Pay: $19.25 - $30.50 per hour, depending on experience.

Schedule:

Monday through Friday, 8am to 4pm, for a 37.5-hour workweek

Position Summary

The Gifts Order Office Specialist is involved in all aspects of gift ordering, including management of Autobuy-reporting for replenishment, placing and processing gift and other non-book orders with all vendors, entering and managing product data, troubleshooting problems for the Gifts Department and the Receiving Distribution Center, and supporting staff on the gift ordering process. They coordinate the timing of gift orders and maintain the ordering schedule.

This position works with key people from all inventory groupings, stores, and departments to develop processes, maintain data integrity and consistency, and train staff on best practices. This position reports to the Gifts Purchasing Manager.

Essential Functions
  • Purchases gift product for all locations, including volume and cyclical orders for the warehouse.
  • Supports all ordering processes, working closely with Gifts Purchasing Manager to establish and refine processes and procedures.
  • Works on projects to maximize gross margin return on inventory investment, increase procedural efficiency, and meet company-wide fiscal goals.
  • Works independently and in concert with the corporate inventory managers on project development and analysis to establish streamlined processes and increase inventory performance. Acts as designee of the group to manage department category requests.
  • Assists & supports gift ordering processes including data management, order editing, importing data into the program, and exporting into the bookstore system.
  • Utilizes ordering support tools including Autobuy-reporting to monitor and maintain best practices regarding ordering processes. Acts as a trainer and troubleshooter for Bookscape, Autobuy, and other purchasing tools. Works with vendors and Powell’s IT to maintain accurate inventory and ordering information and improve the efficacy of tools for company purposes.
  • Works closely with IT to develop reports and processes that further company goals.
  • Manages, maintains, develops, and troubleshoots the Autobuy Reorder and Replenishment processes. Works with other departments to design and implement Autobuy for use in other inventory groupings.
  • Performs vendor and title maintenance to keep up with vendor and industry changes. This includes data imports, Bookscape queries, and global changes of inventory data.
