Title Research Coordinator

Work Schedule: Hybrid (3 days in office, 2 days remote)

Job Summary

The Title Research Coordinator applies for titles and secures the 1st lien position for lenders with the Department of Motor Vehicles. The role titling in several states and follows up with Home Centers for documents needed. Must complete a large volume of work within limited time frames while maintaining a high degree of accuracy.

Responsibilities
  • Work in various systems to obtain accurate titling documents.
  • Manage title processes in Helix, Oracle, OnBase, AS400/iSeries, LINK Menu/Apps 2.0, VINtek, ALVIN, and Titling Service Desk Platform.
  • Actively work through loan queues and follow up on outstanding items or needs for each deal.
  • Update and write up checklist items as they pertain to research for each file; assign items to the home center as needed.
  • Reset follow-ups based on required time frames and research outcomes; document updates in Notes or checklist items.
  • Coordinate with sister departments (inventory, sales processing, VMF originations, VMF servicing, Doc Customer/Release, MPC, etc.) to research title errors, corrections, and duplications.
Qualifications

Education: High School diploma or equivalent

  • Experience: 1+ year of prior or related experience (e.g., titling vehicles).
  • Licenses/Certifications: Notary status with Blount County or ability to obtain Notary status (if applicable).

  • Effective organizational and time management to prioritize tasks and meet deadlines.
  • Strong written and verbal communication, including legible handwriting.
  • Proficient data entry with accuracy and speed.
  • Attention to detail and thoroughness in all tasks.
  • Willingness to learn and cross-train in two additional positions to support team flexibility and coverage.
Physical Demands
  • Must be able to remain in a stationary position 75% of the time.
  • Operate a computer and office machinery (telephone, calculator, copier, printer).
  • Communication primarily via telephone (about 30%).
  • Indoor, temperature-controlled office environment.
