Overview
Sheppard, Mullin, Richter & Hampton LLP, a global AmLaw 100 firm, has an immediate opening for a Records Manager to join the Information Governance Department. We are interested in any of the following U.S. offices:
Chicago, Dallas, Del Mar, Houston, Los Angeles, Orange County, San Diego (Downtown), San Francisco, Silicon Valley, and Washington DC.
- Subject matter expert for Records Management and represent department in projects involving data storage or access.
- Liaise with the firm’s offsite storage and shred vendor(s) on services and assesses vendor’s service levels in relation to the Firm’s business and legal requirements.
- Ensure Team Leads, File Center staff and Records Analysts work effectively and efficiently to accomplish daily tasks and local or Firm projects.
- Assess daily demands, develops work plans, and assigns tasks and special projects to Team Leads, File Center staff and Records Analysts.
- Meet with new firm personnel for Records Management overview as necessary.
- Exceptional in learning new systems, software and technology skills.
- Developing, implementing, and updating departmental policies and procedures.
- Excellent interpersonal skills and ability to work effectively with a diverse group of internal and external clients, attorneys, and staff.
- Ability to manage confidential information and sensitive situations with tact and discretion.
- Direct supervision of firm employees and indirect supervision of contracted staff.
- Minimum 5 years of records management experience in a law firm and/or professional services environment.
- Minimum of 3 years managerial experience in a records management role.
- Possess excellent leadership and communication skills (i.e., organizing, planning, problem-solving, and decision-making) necessary for effective management.
- Dependable team player, able to follow written and oral instructions, and excellent judgment about when escalation is necessary or appropriate.
- Demonstrated initiative, commitment to professional growth for self and others.
- Excellent organizational skills including record keeping, data collection, and system information.
- Superior time management skills, including the ability to set priorities, flex with changes in requirements and meet deadlines.
- Ability to handle pressure in a constructive and positive manner and contribute to creative resolution of problems as they arise.
- Able to identify and analyze complex issues to recommend solutions.
Required: High School Diploma or equivalent.
Preferred: Bachelor’s degree or higher in Business Management, Information Science or related field preferred.
License And CertificationPreferred: CRM, Information Governance Professional certificate, or similar.
Computer/Software Knowledge- Experience with records management software, such as File Trail, Intapp security products, Net Documents document management systems, accounting systems and archival software solutions required.
- Substantial familiarity with Microsoft Office products, required.
- Working indoors with limited exposure to hazards (only those that customarily come up when working in a high-rise or office building).
- Indoor office work environment.
- This position requires that you work physically in a SMRH office a minimum of 4 days per week, and working from home the rest of the week (subject to change).
- Evening and weekend work will be required as job duties demand.
- Up to 25%. May require additional travel for special projects.
California:
The salary range for this position is $120,000 to $150,000 per year.
District of Columbia:
The pay range for this position is: $120,000 - $150,000 per year. Medical, vision, and dental coverage is available, including coverage for dependents and domestic partners. Please note that the foregoing compensation and benefit information is a good-faith assessment associated with this position as of the time of this posting and is provided pursuant to the District of Columbia Wage Transparency Omnibus Amendment Act of 2023.
Illinois:
The salary range for this position is: $120,000 - $150,000 per year. This position is eligible for bonuses. This position is also eligible for medical, vision, and dental insurance.
