Position OverviewThe Community Development Department’s Administrative Services Division is seeking a highly motivated, detail-oriented professional to join our team as an Administrative Analyst. The Administrative Services team supports the Department’s four divisions:
Animal Care, Building, Code Enforcement, and Planning.
- Researching, interpreting, and analyzing information and preparing written reports.
- Coordinating procurement activities.
- Preparing and monitoring bids, proposals, and contracts.
- Writing, preparing, and coordinating staff reports.
- Facilitating requests for office maintenance and repairs.
- Maintaining inventory control for office furniture and equipment.
- Assisting with personnel-related administrative activities.
- Perform professional analytical and technical work in the formulation and administration of department or division budgets, development, and management of grants and contracts, and management of department level procurement.
- Perform research and analysis in the development of program or project activities, including program compliance and eligibility, regulatory issues, and funding requirements.
- Compile and analyze data and make recommendations on policy, procedures, staffing, and organizational changes; conduct surveys, perform research, and statistical analysis on administrative, fiscal, personnel, or operational problems.
- Assist in the preparation of program-related grants, budgets, reports, manuals, and publications; coordinate procurement activities and related support functions for a program or project.
- Analyze information for the preparation of grants, contracts, and agreements; assist in negotiating terms; implement, monitor, and prepare reports on conduct and performance; prepare statistical data and graphs.
- Participate in and assist the design, implementation, and installation of new and revised programs, systems, procedures, methods of operation, and forms.
- Coordinate and monitor the administrative functions of an assigned department; compile materials and assist in the preparation of budgets, reports, manuals, and publications.
- Coordinate departmental activities and programs with other City departments and divisions, and with outside agencies; represent the assigned department in committee meetings; oversee contract service providers.
- Respond to complaints and requests for information; interpret and apply policies and procedures; adjudicate complaints.
- Make complex program or project eligibility determinations; conduct focus groups; meet with community or business groups.
- Prepare oral reports; make oral presentations to a variety of City and departmental committees.
- Train staff as assigned and provide exceptional customer service.
The ideal candidate will be detail-oriented, analytical, and organized, capable of managing multiple tasks in a fast-paced environment. They will have experience working effectively in a team setting, providing exceptional customer service to both internal and external customers, and supporting a wide range of projects across the Department. Strong written and verbal communication skills, adaptability, professionalism, and proficiency are highly desirable.
