Departmental Overview

Residential and Student Services Programs (RSSP) is part of the Division of Student Affairs under the direction of the Associate Vice Chancellor of RSSP. RSSP provides residential student housing, family housing, residential life programs, facilities services (maintenance/design, custodial, desk operations) self-operated dining services for undergraduate and graduate students and their families, as well as childcare services for students, faculty, and staff.

RSSP also conducts a year-round conference business, operates seven campus restaurants and manages several faculty apartments.

Position Summary

Under the general direction of the Director of Residential Operations and Emergency Preparedness, oversee day-to-day, 24/7/365 unit operations of residential facilities, focusing on delivering exceptional customer service and ensuring a safe living environment. Ensure safe, efficient, and high-quality daily operation of the residential facilities, through adequate front desk staffing and adherence to operating hours. Provide comprehensive leadership and supervision to unit administrative and student staff.

Oversee critical functions such as space management and condition assessment, key control, maintenance work order tracking, mail services, and customer service issues. Handle key HR functions like recruitment, performance evaluations, monitoring student work-study awards, etc. The position is required to be on-site with infrequent opportunities for remote work as approved by the Director of Residential Operations.

Responsibilities Unit Operations & Staff Supervision
  • Responsible for day-to-day operations of residential facilities, ensuring adequate front desk staffing meets advertised hours of operation. Promote high-quality customer service and effectiveness of work.
  • Monitor facility conditions, coordinate and advocate for timely service response from internal departments (RSSP Maintenance & Trades, Custodial & Grounds Services, Design & Projects, Campus Facilities) and outside vendors to ensure all facility-related needs are prioritized and met.
  • Perform comprehensive routine facilities inspections (including building walks, rooms, furniture, security, event setup, and Health & Safety assessments) and communicate directly with residents, guests, vendors, and internal staff to coordinate maintenance, address service requests, and guarantee smooth operational flow.
  • Supervise a team consisting of an Administrative Assistant, Student Supervisors, and Student Assistants who handle mail services, work order response tracking, key management, customer service inquiries, and problems in person and via phone/email. Serve as a resource for escalated customer service problems.
  • In conjunction with the unit Administrative Assistant, support year-round student recruitment, onboarding, training, and evaluations. Conduct disciplinary action as needed.
  • Responsible for completing annual union performance evaluations for Administrative Assistant. Support staff professional development, provide constructive feedback, and monitor/correct staff performance as needed.
  • During Summer Conference Season, utilize Star Rez system for logistics such as room inspections, unit turnovers, linen exchange, event setup, guest arrivals and departures, conference attendee management and meal-card distribution. Prioritize urgent guest work orders and ensure seamless unit access (fobs and hard keys) for conference guests. Frontline customer service is essential, including after-hours lockouts, access issues, unexpected check-ins, and customer service complaints.
