Job Summary and Qualifications

The Purchasing Warehouse Buyer is responsible for processing all purchasing requests for all supplies, services, and equipment. The Purchasing Warehouse Buyer is responsible for ensuring all orders are processed in an accurate and timely manner, as well as expediting all orders including follow‑up on ETAs, sourcing viable substitute products to minimize the impact of back orders on our customers, and coordinating orders with warehouse inventory analysts and clinical team.

The Purchasing Warehouse Buyer is also responsible for ensuring that invoice and price discrepancies are resolved, outstanding receiving report information is kept current and providing updated information on open orders for inventory items with low stock.

  • Process all warehouse general stores orders in a timely and accurate manner

  • Process all warehouse special purchase requests from SMART Procurement in a timely and accurate manner

  • Validate receipt, review, and correct all EDI and fax confirmations in order to eliminate any service failures

  • Obtain and document estimated ship date and available substitutes for items confirmed as backorder or allocated

  • Contact vendor (website, customer service, sales rep, national account rep) and review prior orders to obtain available substitutes, as required

  • Provide available substitute options to clinical team and Inventory Analyst for review and approval

  • Review outstanding receiving (OREC) report weekly to ensure it remains current.

  • Contact vendors to update estimated ship dates for items that should have arrived based on past due estimated ship dates, or expected delivery dates

  • Work closely with Inventory Analyst to review OREC and update receiving as required

  • Provide updated status of purchases based on requests received from inventory analysts
