Operations Executive ( 1 Yr contract)

Supporting a dairy trader based in New Zealand, you will carry out daily trade operations execution for import/export or domestic supply chain activities in and around Asia/Oceania Region, namely for Australia and New Zealand clients.
ROLECarry out post trade contract activities and day-to-day execution of physical contracts concluded by the regional commercial team on a variety of supply chain flows including but not limited to import & export (containers/breakbulk) shipments, domestic warehousing and trucking deliveries into and within Australia and New Zealand. This involves planning shipments/deliveries to payment collection.
Liaise with Commercial, Operations, Finance and Trade Finance teams to plan for smooth execution inter-team workflows, especially where any supplier payments or client receivables requires bank funding.
Acknowledgment of nomination to buyer and sending it on to shipper ensuring shipper acceptance of nomination.
Issue documentary instructions to shipper for timely preparation of shipping documents and follow up on draft documents for checking.
Create shipment number in our in-house system.
Ensure all drafts are checked and confirmed by buyer and passing on to shipper. Follow up on scanned signed documents and original documents.
Instructing / appointing surveyors at loading and discharging port(s).
Create sale invoice and upload all shipping documents in Suite.
Ensure payments from buyers are made in time before shipments arrive at destination.
Manage payment of suppliers, freight invoices and any other costs.
Ensure all information like documentary instructions, LOIs or LCs (if required) are in place before loading/discharging.
Preparation & maintenance of shipment documents into in-house system and any hard copies if required.
Arrange local or overseas courier to send out original documents.
Handle customer’s requests relating to QA documentation.
Follow up on customers’ claims and other shipment related disputes working closely with traders for a resolution.
Join weekly execution calls with Singapore and/or Regional teams.
Working HoursThis role will be supporting ANZ working hours, and will require your commitment working on these hours during a full work week:
3 to 4 days remote- working hours: 5am - 2pm (Local Singapore time)
1 to 2 days working in Singapore Office: 9am - 6pm (Local Singapore time)
You are required to work on site fully 5 days a week for the first 3 months to ensure training and induction into the working environment happens seamlessly.
REQUIREMENTSDiploma / Degree / Professional Certificates in Logistics / Supply Chain Management / Business / Maritime / related disciplines
Able to commit for 12 months or more (till December 2026).
5- 7 years of experience in international import/export trade and shipping logistics i.e. container shipments or breakbulk/bulk shipments.
Experienced in negotiating documents basis CAD, Bank Documentary Collection, and Documentary Letters of Credit.
Fast learner and able to work under pressure and deadlines.
Ability to act with integrity when dealing with confidential matters.
Team player with strong work ethics, communication & organisational skills.
Proficient in Microsoft Word, Excel and Power Point.
