We are seeking a highly organized, well-established, and detail-oriented Virtual Executive Assistant to join our remote team. The Executive Assistant will perform high-level administrative tasks in support of our senior-level managers, including calendar management, travel arrangements, and expense reporting. The ideal candidate should be well-organized, have strong time management skills, and be able to act without guidance. You will contribute to the efficiency of our business by providing personalized and timely support to executive members.
Key Responsibilities- Managing a complicated and busy schedule
- Planning, logistics, and operations support
- Providing comprehensive administrative support
- Coordinating individual and group travel
- Handling confidential and sensitive information with discretion
- Administrative support including data entry, project assistance, event/meeting planning, filing, mail handling, and correspondence
- Organizing meetings and summits from start to finish
- Phone call screening, correspondence and document preparation, bill payment, and record keeping
- Running errands as needed
- Managing personal action items, to-do lists, and proactive status updates
- Comfort with Chief of Staff level duties and/or project management
- Procurement and/or logistics-level duties
- Proven experience as an Executive Assistant or Personal Assistant (BPO experience preferred)
- Excellent command of English
- Discretion in handling confidential information
- Knowledge of office management systems and procedures
- Proficiency in MS Office (Excel and PowerPoint)
- Excellent time management and prioritization skills
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Reliable high-speed internet connection (minimum 20 Mbps)
