Job RoleWe’re looking for a Permit & Communications Administrator to support our operational delivery teams by managing permit documentation, coordinating resident communications, and helping ensure the smooth delivery of planned works. If you enjoy variety, keeping systems tidy, and being the central point that connects teams, clients, and the public — this role is for you.
Duties- As our Permit & Communications Administrator, you will play a vital role in ensuring accurate information flows between operational teams and local communities. You’ll manage essential documentation, support communications for planned works, and respond to public enquiries with professionalism and clarity.
- Your work will directly support roadworks scheduling, resident access arrangements, permit processes and customer satisfaction.
- Prepare, print, and distribute resident letters, notices and communications packs.
- Keep all permit records, correspondence, and approvals up to date (digital and hard copy).
- Ensure documentation is accurate, professional, and issued within required time frames.
- Run daily, weekly, and monthly statistics for operational works.
- Maintain spreadsheets, trackers, databases and internal systems.
- Ensure reporting is accurate, consistent, and easy for the team to use.
- Handle phone and email enquiries regarding roadworks, closures, access and permits.
- Provide clear, friendly and accurate information to residents and the public.
- Work with internal teams to resolve issues and close out queries promptly.
- Assist with communication planning for upcoming works, including preparing notifications.
- Work closely with operational teams to align permits, schedules and resident communications.
- Update trackers, schedule tasks, and monitor deadlines.
- Support general admin duties including filing, scanning, minute-taking and system updates.
- Contribute ideas to improve processes and support department efficiency.
- Strong administrative and organisational abilities.
- Excellent written and verbal communication skills.
- Confident using Microsoft Office (Excel, Word, Outlook) and able to learn new systems quickly.
- High attention to detail with accurate data entry skills.
- Ability to manage multiple tasks and meet deadlines.
