Work ShiftJob Description
The successful candidate will work independently while serving as part of the Pediatrics Office of the Chair team and act as a liaison between the Director and faculty, administrators, and staff. Remote work eligibility will be considered after one year of successful employment in the role.
Responsibilities- 30% Administrative support
:
Manages complex administrative operations and responds to time-sensitive matters on behalf of the Director of the DCRI and the Director of Research Administration. Coordinates and maintains executive calendars, schedules meetings and appointments, and drafts professional correspondence, reports, and documentation. Serves as a liaison between the Chair and faculty, administrators, and staff to facilitate effective communication and workflow. Coordinates the annual faculty evaluation process and collaborates with the Pediatrics HR office regarding Our Day submissions and HR actions related to students volunteering in DCRI laboratories.
(Essential) - 30% Programmatic Support
:
Assists with coordination and administrative tasks associated with DCRI activities, including the Pediatrics & DCRI Annual Symposium, Summer Fellowship Program, Pediatric and DCRI Internal Grant processes, the Pediatric Biorepository, and the Tissue Culture Facility. Provides operational support for shared services and infrastructure, including mail distribution, Xerox/copier services, and laboratory support resources such as dry ice, liquid nitrogen, and common equipment.
Supports the DCRI seminar series by coordinating travel arrangements, preparing itineraries, and assisting with advertisements for guest lecturers. Arranges campus visits and manages required documentation and logistics for visiting faculty. (Essential) - 20% Facility management
:
Coordinates the annual lab and space inventory in collaboration with institutional, college, and departmental offices, including verifying asset tags and ensuring inventory accuracy with DCRI faculty. Maintains records for capital assets and computer devices in departmental and institutional systems, including requesting and tagging equipment. Assists with annual space audits, tracks departmental office assignments and access control, and processes DCRI divisional surplus items.
(Essential) - 15% Purchasing

Coordinates DCRI Our Day purchasing activities, including reviewing orders, creating requisitions, managing approvals, and tracking requests through completion in departmental systems. Processes PCard transactions, travel arrangements, meeting registrations, memberships, and reimbursement packages for designated funding sources. Supports special projects for the DCRI Director and submits and monitors divisional contracts and Professional Service Agreements through the contract system. (Essential) - 5% Other duties assigned. A high school diploma and four years relevant experience in business management, public administration or administrative services; or a bachelor's degree and two years' experience in business management, public administration or administrative services.
