Overview

CIEL - Center for International Environmental Law. Remote | Remote-based, Washington D.C. National Administrative Services and Support. Requires English;
French and/or Spanish is a plus.

Position:
Executive Assistant (part-time with potential increase in 2026). Reports to the CEO and, in the future, the Chief Program Officer (CPO).

Position details

LOCATION:

Washington DC (hybrid/flexible) or Remote within specified US states;
Northeast preferred. DURATION/FTE:
Part-time (20 hours/week) with a likely increase to 30-40 hours/week in late 2026..

Compensation and working conditions:
Eligible for overtime where applicable. Remote working arrangements may include a space stipend. Core overlap hours are generally 9am-12pm ET and 3pm-6pm CET due to global teams. Occasional additional hours may be required.

Responsibilities
  • Calendar Management and Travel Coordination (40%):
    Manage complex CEO/CPO schedules, coordinate meetings, send invitations, reserve rooms, arrange catering if needed, set up conference calls, and provide preparatory materials in advance.
  • Executive Communications (30%):
    Draft and process correspondence, manage digital filing, screen calls, take notes in sensitive meetings, assist with preparation of memoranda and paperwork, and prioritize communications across channels (including email, Slack, Asana) with confidentiality.
  • Board of Trustees Support (20%):
    Liaise with the Board, coordinate board meetings and retreats, manage onboarding/offboarding for Board members, and track terms and action items.
  • Organization & Other Administrative Support (10%):
    Manage CEO/CPO to-do lists, reconcile expenses and maintain timesheets, anticipate issues, preserve confidentiality, perform general duties, and participate in meetings and evaluations.
Qualifications

Minimum Qualifications:

  • Minimum of five years of executive-level administrative experience.
  • Ability to manage multiple priorities, exercise judgment, and adapt in a fast-paced environment.
  • Superior professional communication skills (oral and written) with internal and external audiences.
  • Ability to maintain confidentiality and handle sensitive information.
  • Experience learning new digital systems; proficient with calendar management across platforms.
  • Fast and accurate note-taking (minimum 80 wpm).
  • Self-directed and motivated; able to work independently and with a team.
  • Ability to travel internationally for short periods (approx. 1 week) when needed.
  • Proficiency in Microsoft Office and Google Suite.
  • Authorization to work in the United States without visa sponsorship.
  • Commitment to justice, equity, and inclusion in all work aspects.

Desired

Qualifications:

  • Languages beyond English, especially French/Spanish.
  • Familiarity with Asana, Slack, and/or Bamboo

    HR (or similar software).
