About the RoleWe are seeking a highly skilled and professional Executive Assistant to act as a true right arm to a very busy and high-profile Vice President of Human Resources. This role requires exceptional judgment, strong organizational abilities, and the capacity to manage sensitive information with the utmost discretion.
The ideal candidate is proactive, adaptable, and thrives in a
fast-paced environment with shifting priorities. As a trusted partner to the VP, you will play a key role in streamlining operations, enhancing efficiency, and enabling effective decision-making.
Key Responsibilities:Executive SupportManage complex calendar and email activity, including scheduling meetings, coordinating appointments, organizing events, and arranging travel.Anticipate the needs of the VP, proactively identifying potential issues, priorities, and opportunities.Act as a professional liaison, communicating with internal and external stakeholders at all levels.Documentation & Meeting CoordinationPrepare and revise internal and external documents, reports, presentations, memos, and correspondence.Coordinate meeting preparation, set deadlines, gather and format materials, and ensure leaders are fully briefed.Operational & Administrative ManagementTrack expenditures, process invoices and expenses, and maintain organized records.Coordinate booking of meeting rooms, conferences, catering, and technical equipment.Support special events such as town halls, employee events, and other HR-driven initiatives.QualificationsCompletion of a related post-secondary program.7-10 years of progressive experience as an Executive Assistant in a fast-paced, dynamic environment.Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook, with strong calendar and inbox management skills is a MUST.Excellent verbal and written communication skills; able to engage professionally with stakeholders at all levels.Proven ability to handle confidential and sensitive information with discretion and sound judgment.Strong interpersonal skills with a polished, professional presence.Event planning experience considered an asset.Why Join Us?Opportunity to work directly with senior HR leadershipFast-paced, engaging environmentEmployee Share Program, Pension Plan, Bonus and Benefits from Day 1.Professional growth and development within a dynamic HR team
