Hybrid: In office, currently Monday-Tuesday-Wednesday each week, with the option to work from home on Thursday and Friday.
Job DescriptionThe Executive Assistant is responsible for providing administrative support to the President & CEO requiring limited direction from the CEO and possessing a thorough knowledge of the organization.
Key Responsibilities- Operate as a business partner and extension of the President & CEO and other senior executives
- Manage sensitive matters with a high level of confidentiality and discretion
- Manage executive scheduling and planning, including meetings, conference calls, and board meetings, proactively anticipating and addressing potential scheduling conflicts given a very busy calendar
- Draft and prepare correspondence for internal announcements, board meetings, and other communications
- Coordinate the execution of various agreements and internal authorizations and maintain log of signed documents
- Plan and coordinate logistics for various company events and board meetings
- Assist in the preparation of annual budgets
- Schedule travel, including airfare, hotel accommodations, and ground transportation
- Manage and collate expenses and receipts, submitting for reimbursement as needed
- Coordinate assistance with technology when questions or repair issues arise
- Review and approve time reporting requests for supported departments (i.e., vacation, sick, etc.)
- Attend various meetings, prepares agendas, and maintains meeting notes
- Prepare PowerPoint presentations for various uses including board meetings
- Share in kitchen duties with other EAs, such as stocking of drinks, snacks, and coffee supplies
- Assist with welcoming of visitors and acceptance of package/supply deliveries
- Procure office supplies
- Open, sort, and distribute mail
- 5 - 7 years of Executive Assistance experience
- Experience supporting multiple executives with discretion and precision
- Highly polished, articulate, and detailed oriented
- High growth environment exposure preferred
- Highly visible role ideal for a seasoned professional who thrives in fast-paced setting
- Manage complex calendars and coordination with multiple C level partners
- Partner cross-functionally with Chief of Staff, HR, Finance, IT and Operations
- Advanced Microsoft Office skills
