About the Role

We are seeking a highly organized, proactive, and resourceful Executive Assistant to support our hands‑on Founder and Executive Leadership Team. This is a high‑impact role suited to someone who thrives in a fast‑moving environment, anticipates needs before they arise, and brings structure, clarity, and executional excellence to a dynamic leadership group.

You will act as a trusted partner, managing day‑to‑day flows, improving efficiency across the organization, and enabling the Founder and senior leaders to focus on strategic priorities.

Key Responsibilities Executive Support
  • Manage complex calendars, coordinate meetings, and prioritize competing demands across the leadership team.
  • Handle confidential correspondence, communications, and sensitive information with discretion.
  • Prepare agendas, briefing materials, presentations, and follow‑up actions for meetings.
  • Draft and edit emails, documents, and strategic communications on behalf of the Founder/executives.
  • Ensure the Founder is prepared for all engagements, with relevant materials, context, and logistics in place.
Operational & Administrative Leadership
  • Coordinate travel arrangements, itineraries, and scheduling for domestic and international trips.
  • Support operational planning, team events, offsite, and company‑wide meetings.
  • Maintain documentation, process workflows, and organizational systems to support scaling.
  • Build and maintain strong relationships across internal teams and external stakeholders.
  • Identify inefficiencies and implement improvements to enhance executive and company‑wide productivity.
Project & Stakeholder Management
  • Track key projects, deadlines, OKRs, and deliverables, ensuring timely progress and accountability.
  • Support cross‑functional initiatives that require executive oversight or coordination.
  • Follow up with team members and external partners to ensure actions and commitments are met.
  • Research, summarize, and present findings on strategic topics as needed.
Founder Support

This role supports a hands‑on Founder who moves quickly and expects the Executive Assistant to:

  • Anticipate needs and proactively remove friction from the Founder’s workflow.
  • Create leverage by owning tasks end‑to‑end with minimal oversight.
  • Serve as a sounding board and trusted operator with a strong sense of judgement.
  • Adapt quickly to changing priorities and maintain calm under pressure.
Skills & Experience Required
  • 3+ years of experience supporting C‑level executives, founders, or senior leadership in a fast‑paced environment.
  • Exceptional organizational, time‑management, and prioritization skills.
  • Strong written and verbal communication abilities.
  • High level of discretion, emotional intelligence, and professionalism.
  • Proficiency with productivity tools (Microsoft 365 etc.).
Preferred
  • Experience in a startup, high‑growth company, or founder‑led organization.
  • Strong understanding of business operations and cross‑functional workflows.
  • Project management experience or certification (informal or formal).
