Under general supervision, provides support to professional planning staff through research, agenda coordination, case file preparation, exhibit preparation, field surveys, gathering data and providing information to the public.
- Assists professional planning staff, using TRAKiT or equivalent tracking software, in scheduling, coordination and filing of all cases originating through the Development Services Division to be heard before the Planning and Zoning Commission and Town Council.
- Conducts research and compiles data as requested by professional planning staff and other departments for inclusion in staff reports, studies, and technical documents.
- Researches zoning projects by utilizing plats, abstracts, tax rolls, the zoning map and land use maps, meeting minutes, annexation information, project files, ordinances, etc. to ensure compliance with state and local ordinances.
- Coordinates intake and distribution of Development Review Committee materials and schedules.
- Reviews and processes applications and plans for submittal purposes and records and uploads revision submittals.
- Closes out files for completed or withdrawn cases, to include stamping approved plans and preparing approval letters, and updates TRAKiT or equivalent tracking software with all relevant case information, including stamped approved plans, approval letters, signed ordinances, development agreements, etc.
- Prepares zoning verification letters and supporting documentation as required.
- Prepares and processes amended site plan requests. Correctly records and tracks Site Plan Amendments in TRAKiT or equivalent tracking software.
- Creates custom reports for use by the Planning Services Division in tracking various project data.
- Reviews certain types of residential and commercial building permit applications to ensure compliance with approved ordinances, plans, and Town Code.
- Maintains documents available to the public both at the front counter area and on-line ensuring they are current and correct.
- Serves as primary point of contact for public information relating to Planning Services to include:
- Providing oral and written technical information on development requirements to developers, contractors, property owners, citizens, and Town departments. This could be over the phone, in person or through the Planning email inbox.
- Assisting the public and other departments in obtaining copies of various documents and files.
- Adheres to personnel, departmental, and safety policies and procedures.
- Informs supervisor of all work activities.
- Assists other coworkers as needed.
- Performs other duties as assigned.
- High School Diploma or General Equivalency Degree (GED) is required.
- Must have a valid state‑issued driver’s license and driving record must be in compliance with Town policy.
- Two years of planning or related work experience is required. A Bachelor’s degree in a related field may substitute for two years of required work experience.

- Must be able to read, write, talk, see, hear, and operate various pieces of office equipment with good hand/eye coordination for data entry and 10‑key operations.
- Must be able to sit for extended periods, operate office equipment, and perform occasional lifting, pushing, and standing for long periods.

- A Bachelor’s degree in urban planning, architecture, geography or related field is preferred.
- Must have a good knowledge of the principles and concepts of municipal government. Knowledge of the principles, concepts and theories of urban planning is preferred.
- Excellent personal computer skills in a windows environment to include mapping software, databases, tracking software, Microsoft Word and Excel.
- Ability to establish relationships with boards, elected officials, co‑workers, and general public; and have the ability to perform research and conduct surveys.
- Must have excellent English communication skills, both oral and written, to include spelling, grammar, punctuation, and sentence structure.
- Must be able to work in a fast‑paced office environment: understand and carry out oral and written directives; work well under pressure and stress; handle multiple tasks; prioritize and organize work assignments; make competent decisions, always maintain a pleasant and friendly demeanor; and maintain confidential matters.
