Position Overview

We are seeking a highly organized, dependable, and detail‑oriented Data Entry Admin Specialist to join our growing remote operations team. This role plays a key part in supporting administrative workflows and maintaining accurate data systems across teams serving the MENA region, including the UAE, Qatar, and Saudi Arabia.

As a Remote Data Entry Admin Specialist, you will contribute to the efficiency of day‑to‑day operations by entering and maintaining data, updating internal trackers, reviewing records for accuracy, and ensuring documentation standards are consistently met. Your work will help maintain reliable systems that support reporting, workflow management, and operational decision‑making.

Key Responsibilities Data Entry & Administrative Record Management
  • Entering and updating data in internal databases and spreadsheets using Google Sheets or Microsoft Excel
  • Reviewing data entries for completeness, formatting consistency, and accuracy
  • Standardizing records such as names, contact details, region identifiers, and internal notes
  • Identifying duplicate records, errors, inconsistencies, or missing fields
  • Flagging incomplete or unclear information for clarification
  • Maintaining organized folder structures and file naming conventions
  • Logging updates, corrections, and changes made to datasets
Administrative Task & Workflow Coordination
  • Reviewing incoming administrative or data‑related requests
  • Categorizing tasks according to established workflows
  • Routing tasks to appropriate team members when required
  • Tracking task progress from assignment through completion
  • Following up on overdue, stalled, or incomplete items
  • Maintaining clear documentation of task status and updates
Tracking Systems & Reporting Support
  • Updating operational trackers for completed, pending, and in‑progress work
  • Maintaining daily logs of activities, updates, and corrections
  • Preparing brief summaries of completed work when required
  • Monitoring recurring data issues or process gaps
  • Escalating patterns that indicate workflow inefficiencies
  • Supporting internal reporting with clean and reliable datasets
Scheduling & Coordination Support
  • Updating calendars based on provided instructions
  • Confirming availability across team members
  • Sending reminders for deadlines or required actions
  • Tracking onboarding progress or checklist completion
  • Supporting internal coordination to prevent missed steps
Quality Assurance & Documentation Standards
  • Reviewing work prior to submission for formatting consistency
  • Maintaining standardized folder structures and naming conventions
  • Ensuring documents remain accessible and easy to locate
  • Supporting updates to internal documentation when required
  • Following Standard Operating Procedures (SOPs) precisely
