Job SummaryWe are looking for a detail-oriented and highly organized Junior Administrative Assistant to support daily operational and administrative processes for a HVAC company based in Florida. This is an excellent opportunity for an early-career professional looking to grow within a project-driven environment while working with an international team. You will support project coordination, reporting, supplier interactions, procurement-related processes, and documentation management to ensure smooth day-to-day operations.
Responsibilities- Register and manage company participation on tender and procurement platforms.
- Support preparation and submission of documentation for tender participation.
- Prepare and track mileage reimbursement reports.
- Open and manage supplier credit accounts.
- Prepare reports related to tools and equipment usage.
- Place and track equipment and supply orders.
- Assist in maintaining accurate office and project documentation.
- Coordinate with vendors and internal team members.
- Support day-to-day administrative coordination as needed.
- 1–2 years of relevant experience (administrative support, project coordination, procurement, or similar).
- Fluent English (written and spoken).
- Strong attention to detail and high level of accuracy.
- Analytical mindset with ability to work with reports and documentation.
- Quick learner who can adapt to new systems and processes.
- Strong communication skills.
- Proficiency in document management and digital tools (e.g., Google Workspace, Excel, Trello, ChatGPT etc.).
- Comfortable working US business hours.
- Stable full-time remote contract.
