Position Purpose

The Advancement Data Specialist provides accurate and timely operational support to Gift Recording and Advancement Data & Reporting Services. Reporting to the Director, the role performs complex data entry and maintains highly confidential demographic and financial information of alumni, parents, and friends of Dartmouth using a collaborative approach in a team environment.

Responsibilities
  • Accurate and timely entry and maintenance of giving and biographical data in accordance with established standards and procedures.
  • Execute bank deposits and facilitate funds received from wires, credit cards, securities, Pay Pal, and other payment sources.
  • Understand what constitutes a gift and the CASE and IRS guidelines that govern charitable gift processing.
  • Develop expertise in using specific web‑based applications and technology tools to enter and maintain giving and biographical data.
  • Extract, compile, and assemble information from various sources into appropriate formats for entry and maintenance.
  • Organize, scan, and prepare prospect and alumni documents, indexing keyword data as prescribed.
  • Perform research and initial analysis of entity biographical and giving information.
  • Assist in retrieval and compilation of information from multiple source systems for month‑to‑month, quarterly, and ad‑hoc reporting and research projects.
  • Ensure security and sensitive handling of confidential documentation and information.
  • Communicate effectively and respectfully with a diverse community, keeping the Director apprised of important issues and requests.
  • Explain departmental policies and procedures to external and internal customers.
  • Assume ownership of customer inquiries, issues, or concerns and accomplish effective resolution in a timely manner.
  • Collaborate with management and colleagues to standardize current processes and continuously seek improvements.
  • Recognize technical issues and notify technical support for resolution and follow‑up.
  • Cross‑train with other team members to assure adequate coverage and timeliness.
  • Perform other duties as assigned.
Required Qualifications
  • Associates or equivalent combination of education and experience.
  • Four years of relevant data entry experience (e.g., customer service, financial processing, or other directly related experience) and an Associate Degree, or the equivalent.
  • Demonstrated professionalism with effective verbal and written communication, strong customer service and listening skills.
  • Accountability for work accuracy and attention to detail.
  • Ability to work efficiently and effectively under time constraints.
  • Organizational and prioritization skills.
  • Understanding of policies and ability to apply procedures.
  • Advanced problem solving, resolution, and analytical skills.
  • Proficiency in Microsoft Suite, web applications, and computer navigation within Windows and network‑based environments.
  • Flexibility and teamwork, adapting to system and process changes.
  • Eagerness to apply the core values of Advancement.

Employment will be contingent upon possession of a valid U.S. or Canadian driver’s license and continued qualification as an Approved Driver under the Dartmouth College Driver Safety and Motor Vehicle Policy.

Preferred Qualifications
  • Basic accounting skills and knowledge of financial/accounting software.
  • Working knowledge of IRS and CASE guidelines for charitable giving and reporting.
  • Experience with Ellucian Advance, Atlassian JIRA, Hyland OnBase, iModules Encompass, Oracle Business Intelligence.
