About the Role

This role will require you to open the office Monday to Friday. This position does not have a work from home option. Hours will be Monday to Friday, 8:30am to 5:00pm, with a lunch break. If you are unable to commit to this time and location, please do not apply.

Note:
This is a general description and not intended to include all tasks related to this position:
- Answer incoming phone calls and transfer to attorney or staff accordingly;
- Review and manage deadlines/events on firm calendar;
- Assign client copy/postage codes for assisting with tracking client costs;
- Copy and/or scanning projects including OCR discovery production and records;
- Conference room setup and breakdown as necessary;
- Water and maintain office plants;
- Occasional errands (picking up firm lunches, post office/UPS/Fed Ex, bank runs, etc.);
- Create potential new client folders and assist firm administrator in closing prior client files using One Drive and SharePoint;
- Manage the closed cases list;
- Update client contact information using our online case management software, Case Peer, as needed/directed;
- Download, rename, save and distribute incoming electronic faxes;
- Assist firm administrator with projects/tasks as directed;
- Complete intakes for potential new clients;
- Work directly with new clients to gather information needed for the staff and attorneys;
- Drafting documents for the staff and attorneys;
- Greet all vendors, guests and clients;
- Make coffee, and keep the kitchenette and all common areas clean daily;
- Open, date stamp, scan, save and distribute mail daily;
- Order and keep inventory of supplies.
- Proven work experience as a receptionist, front office representative, administrative/legal assistant or similar role;
- Proficiency with Microsoft Office;
- Proficiency with office equipment (i.e. printers, multi-line phone, scanners, etc.);
- Professional attitude and appearance;
- Solid written and verbal communication skills;
- Ability to be resourceful and proactive;
- Excellent organizational skills;
- Multitasking and time-management skills, with the ability to prioritize tasks;
- Punctual, reliable, honest, and dependable;
- Team-player mentality.
