We’re searching for an Operations Coordinator who wants to support a fast growing marketing agency’s Operations Department to help keep the wheels spinning.

This person will work directly with the Operations team on all financial and operational aspects of the company, including, but not limited to, owning the Workamajig data entry and grooming of changes from program set up, to budget and hours entry and rate card management to opening Pos for Vendors and ICs. They will also assist with SOW and budget templates, production support onboarding vendors and IC’s and budget reconciliation support.

This person may also support the Business Development and Accounts team by keeping the pipeline and assignments up to date for proper projections and staffing assessments, as well as general admin support for the overall department. The Operations Coordinator must have a strong work ethic, demonstrating the ability to meet all financial deadlines, maintain daily/weekly responsibilities and also proactively contribute to company growth and change.

Previous office management and or production accounting experience at a marketing/experiential/events agency is a preferred, but we’re primarily interested in someone who is extremely detail-oriented, enjoys data mining in a scary way, loves to bring order to life, can keep an eye on the big picture, thrives in the trenches and ultimately has fun doing all of that - just like we do!

Responsibilities
  • Reports directly to the Operations Director and indirectly to the Finance Director.
  • Own the Workamajig system data entry for program set up, staff model set up and PO management in conjuction with the Financial Director and Operations Director.
  • Support the Financial Director with daily AP/AR, client and vendor/IC onboarding and management, PO management, program reconciliations and American Express reconciliations
  • Timeliness of data entry is a critical element of the position - from managing the companies contacts, to opportunities in the pipeline, to assisting producers with the PO system and enabling immediate reliable reporting from the system on a weekly basis.
  • Support the Operations Director with day-to-day agency operations including monitoring program expenses, insurance issues related to client programs, research and completion of procurement forms, vendor agreements and contracts, and occasional company related errands.
  • When asked, maintain information and business materials that document our processes.
  • A general understanding and ability to interpret vendor, venue and standard contracts and the ability to amend and recommend in partnership with the company’s legal team.
  • Supprt as asked with company travel, company hardware and software needs.
  • General business correspondence and other financial duties and office management support as assigned.
Requirements
  • Strong Internet and Apple/ PC computer skills with a comfort and familiarity of working and operating in today’s cloud environment, Salesforce, Workamajig or similar course work and certifications or experience a plus
  • Diligent and meticulous with a fixation on detail
  • A highly effective communicator with excellent writing, listening and interpersonal skills
  • A self-motivated, confident, energetic and effective project manager – organization is your passion
  • Ability to work both collaboratively in a team oriented environment and independently, with high levels of detail
  • Bachelor’s Degree with two plus years working in Operations or Finance preferred
  • Valid Driver’s License and ability to make occasional drop-offs/pick-ups with vendors or other teams as needed
  • Knowledge of marketing and event planning, with a general understanding of the Advertising, Media and Marketing industry.
