PLEASE NOTE:

As this is a hybrid job, only candidates based in Irvine or within a maximum 30-minute commute will be considered.

We are seeking a highly organized, proactive, and tech-savvy Part-Time Administrative Assistant to become the operational heartbeat of our Irvine headquarters. In this hybrid role, you will provide crucial support to ensure our office runs seamlessly and our teams have what they need to excel. This is a perfect role for a detail-oriented professional who thrives in a dynamic environment and values flexibility.

What

You'll Do
  • Office Management & Operations:
    Serve as the first point of contact for the Irvine office, managing the front desk, answering phones, and handling mail/packages. Ensure the office is tidy, stocked, and operational.
  • Executive & Team Support:
    Provide direct administrative support to the leadership team and other departments. This includes scheduling meetings, managing calendars, preparing documents, and handling confidential information with discretion.
  • Project & Vendor Coordination:
    Assist with special projects, event planning (team lunches, client meetings), and coordinate with office vendors (IT, cleaning, supplies).
  • Systems & Process Management:
    Utilize tools like Google Workspace (Gmail, Calendar, Drive, Docs), Slack, and our project management software to keep information flowing and tasks on track.
Who You Are
  • You have 2-3 years of administrative, office support, or relevant experience.
  • You are a master of organization with an eagle eye for detail. Nothing slips through the cracks on your watch.
  • You are a proactive problem-solver who anticipates needs before they arise.
  • You communicate clearly and professionally, both in writing and in person.
  • You are proficient with modern tech tools (Google Suite is a must; experience with Monday, Slack, or similar is a plus).
  • You are reliable, punctual, and able to manage a flexible part-time schedule, with a commitment to being in our Irvine office for core days on a weekly basis. Thus, must reside in Irvine, CA.
