Position: Remote Maintenance Coordinator (VA)

The Maintenance Coordinator provides backend office support focused on maintenance administration and coordination. This role plays a critical part in ensuring service requests are handled efficiently, communication flows smoothly, and maintenance tasks are completed accurately and on time.

Working closely with internal teams and external vendors, this position supports day-to-day maintenance operations by managing requests, tracking progress, and maintaining detailed documentation. The ideal candidate is highly organized, communicates clearly in English, and thrives in a structured, process-driven environment.

Key Responsibilities
  • Coordinate and manage maintenance requests from initiation to completion
  • Communicate with tenants, vendors, and internal team members regarding work orders and updates
  • Schedule maintenance appointments and follow up to ensure timely resolution
  • Maintain accurate records of service requests, invoices, and related documentation
  • Provide backend administrative support to the property management team
  • Monitor task progress and proactively identify delays or issues
  • Ensure all communication is professional, clear, and well-documented
  • Spend approximately 25–50% of the shift on phone communication with vendors, tenants, and team members
  • Strong written and verbal English communication skills
  • Excellent organizational and time-management abilities
  • High level of accuracy and attention to detail
  • Ability to multitask and prioritize in a fast-paced environment
  • Professional phone presence and confidence handling calls
  • Strong follow-up and task-tracking skills
