The Diocese of Marquette is seeking a full-time Administrative Assistant to the Department of Ministry Personnel to join their team in Marquette, MI (Hybrid). This non-exempt role reports directly to the Vicar General and supports Priest Personnel, the Permanent Diaconate program, and Safe Environment initiatives. The position requires strong organization, attention to detail, and the ability to handle confidential matters with professionalism while coordinating multiple diocesan functions.

Provide day-to-day administrative support to the Vicar General, including managing emails and phone calls, scheduling meetings, drafting correspondence, and preparing materials.
Maintain confidential clergy files and assist with recordkeeping for priests and deacons.
Help prepare reports, questionnaires, mailings, and meeting materials related to priest personnel and parish visits.
Assist in organizing clergy events such as retreats, workshops, appreciation dinners, and convocations.
Coordinate meeting logistics for the Independent Review Board, including scheduling, preparing materials, and taking meeting minutes.
Support the Vicar for Senior Priests by helping coordinate care needs and working with the finance office when required.
Submit invoices and vouchers for payment and assist with tracking related documentation.
Maintain databases and spreadsheets for active, retired, and formation clergy.
Communicate health and death notices for clergy in accordance with diocesan policy.
Assist with Safe Environment efforts by coordinating training sessions, maintaining training and background check records, updating databases, and helping prepare required reports and audits.
Provide backup administrative support to the Executive Secretary to the Bishop as needed.
Perform other administrative duties as assigned by diocesan leadership.
Strong organizational and administrative skills with attention to detail.
Ability to manage confidential information with discretion and professionalism.
Experience supporting executive leadership preferred.
Proficiency in database management and record keeping.
Strong written and verbal communication skills.
Ability to coordinate events, meetings, and multiple ongoing projects.
Comfort working collaboratively with clergy, diocesan leadership, parish staff, and volunteers.
