Temporary HOPE Events Coordinator

Employment Type: Temporary (up to 9 months)
OverviewThe Temporary HOPE Events Coordinator supports the Office of Student Life by coordinating events, newsletters, and social media, while providing logistical and administrative support for student interest groups and HOPE initiatives.
Key Responsibilities- Manage reservations and collaborate with facilities and other departments to prepare for events.
- Handle catering, technology setup, and materials preparation for events.
- Proofread and edit letters, ads, invitations, web content, and other materials for accuracy.
- Send out advertising and invitations, track RSVPs as needed.
- Print programs, signage, and gather supplies for events.
- Use strong time‑management skills to balance multiple overlapping projects and prioritize daily tasks.
- Draft official function forms for event expenses and prepare expense reports.
- Compile feedback and post‑event reports.
- Provide event support for student interest group events, including room reservations and financial needs in compliance with policy.
- Create and distribute a weekly newsletter to the SOM student body and a monthly newsletter to SOM community partners.
- Compile and distribute advertisements, documents, and notices for student interest groups.
- Organize newsletter content, remove outdated material, and maintain formatting.
- Solicit content from student interest groups.
- Advertise upcoming events and community engagement opportunities.
- Create and organize content for HOPE social media platforms.
- Maintain contact information and bylaws for student interest groups and preserve historical data.
- Serve as the first point of contact for student interest groups.
- Track and process purchases for SIDE, student interest groups, and other approved student needs.
- Determine whether expense requests are sensitive and require additional review.
- Prepare agendas, take meeting minutes, and distribute follow‑up action items for HOPE committees and working groups.
- Gather and maintain prospective students' information from recruitment events.
- Create and manage email campaigns for prospective students.
- Complete conference registration and coordinate volunteers from UME and GME for recruitment events.
- Provide logistical support for conference attendees.
- Manage the HOPE shared inbox and maintain databases for contacts, volunteers, and community partners.
- Assist coordination of outreach efforts to raise awareness of health opportunities at CUSOM.
- Represent HOPE at campus and community events, fairs, and information sessions.
- Provide staff support for the Associate Dean of HOPE, Directors of HOPE initiatives for Undergraduate and Graduate Medical Education, Manager of HOPE, and the overall office.
- Act as the primary point of contact for visitors to the HOPE office, ensuring positive customer service.
- Serve as the first point of contact for students seeking assistance, completing referrals or arranging appointments.
- Answer calls to the HOPE office on remote work days during normal business hours.
- Complete other duties as assigned.
- Work hybrid schedule: 3 days on campus with additional in‑person meetings as needed.
- Bachelor's degree in education, communication, social science, women & gender studies, psychology, computer science, information systems, business, health sciences, physical sciences, public administration, higher education, counseling, hospitality, liberal arts, finance, accounting, human services, student affairs, or a directly related field from an accredited institution.
- One (1) year of professional‑level experience in a related role; a combination of education and related technical/paraprofessional experience may substitute for the bachelor's degree on a year‑for‑year basis.
- Experience providing logistical support for events, meetings, retreats, and special programs.
- Experience handling multiple phone lines, routing calls, answering questions, and providing information.
- Experience working with individuals from varied backgrounds.
- Proficiency in Microsoft Office (Excel, Access, Word, Outlook, PowerPoint).
