We are seeking an exceptionally organised and detail-oriented Programme Scheduler to join our team. This is a key role at the heart of our operations, ensuring that programmes, events, and activities are flawlessly planned, resourced, and delivered. This role will be hybrid. Home based with occasional travel to Pearson offices.

About the Role

As a Programme Scheduler, you will take ownership of coordinating a wide range of events and activities. You'll work closely with colleagues and stakeholders to plan schedules, manage logistics, and ensure everything runs smoothly from start to finish. Your organisational expertise, clear communication, and ability to stay calm under pressure will be essential in ensuring the smooth delivery of all scheduled activities.

Key Responsibilities:
  • Plan, schedule, and coordinate programmes and events, ensuring every logistical detail of delivery is managed effectively.
  • Manage scheduling activities in line with strict SLAs, ensuring compliance, accuracy, and consistently high levels of customer satisfaction.
  • Coordinate resources across teams and departments, including staff, equipment, facilities, and materials, while building strong relationships with internal and external stakeholders.
  • Oversee room bookings, resolving conflicts and optimising space usage to support efficient operational delivery.
  • Arrange travel and accommodation for team members as needed, ensuring cost effective and timely arrangements.
  • Ensure all MIS systems are kept fully up to date and that all data entry and amendments are completed accurately and in a timely manner.
  • Use scheduling tools, trackers, and booking systems to monitor activity, track progress, and provide clear and accurate reporting.
  • Maintain accurate and up to date records, keeping colleagues, stakeholders, and customers informed at every stage.
  • Communicate confidently and professionally, ensuring seamless coordination and the smooth running of all programme activities.
  • Provide administrative assistance, support and guidance to Apprentices, Employers, Quality and Operational teams as needed and deal with queries promptly.
  • Ensure that all allocated administration or scheduling tasks relating to the coordination of Apprenticeship or commercial programmes are undertaken efficiently, effectively and in a timely manner.
Essential

Skills and Experience:
  • Outstanding organisational and administrative skills with a keen eye for detail.
  • Proven experience in scheduling, event coordination, programme administration, or a similar operational role.
  • Strong communication and interpersonal skills, with the ability to build positive working relationships.
  • High level of competence in IT systems, including scheduling and administrative tools.
  • Experience using Microsoft Excel, including basic formulas and reporting features.
  • Ability to work both independently and collaboratively, often under pressure and to tight deadlines.
  • Adaptable, agile, and comfortable managing multiple priorities in a fast paced environment.

Experience in scheduling, coordination, customer service, or service centre operations within a healthcare environment is highly advantageous.
