We are seeking a Senior Executive Assistant to work closely with our senior leadership and executive teams, providing administrative assistance and operational support. This role is for an entrepreneurial individual with a customer service mindset and exceptional administrative, coordination, and communication skills.
This person needs to be based out of Vancouver or Toronto and will be in person 2-3 times per week.
- Contribute to the planning, organization, and execution of special projects, including high-profile international events and key organizational initiatives
- Oversee and manage schedules, appointments, and travel arrangements for the Senior Leadership Team
- Coordinate team events, support community-building, and handle logistical tasks
- Manage group-wide meetings and agendas, take notes, and track action items for the Senior Leadership Team
- Review, route, and respond to incoming email correspondence and organizational requests on behalf of the Senior Leadership Team
- Organize, track, and reconcile professional finances and expenses
- Coordinate communications and liaise directly with external partners, vendors, and clients
- Create and maintain internal documentation, knowledge management, and communications for the Executive Assistant team
- Maintain a high degree of trust and integrity around the protection of confidentiality
- Act as an exemplar of Clio’s values and culture, serving as an ambassador for the Senior Leadership Team both internally and externally
- 10+ years of experience as an executive assistant or in a role providing administrative coordination in a professional setting
- Exposure to senior leaders, business strategy, and decision-making
- High degree of trust and integrity around the protection of confidentiality
- Collaborative and self-starter mindset with a bias to action
- Flawless written and verbal communication skills, even under pressure
- Strong interpersonal skills and capacity to develop high levels of trust
- Ability to multi-task with excellent time management
- Impeccable attention to detail
- Resourceful and able to work independently with a deadline-oriented mindset
- Proficiency in Mac operating environments, Google Suite, Slack, Asana and Concur
- Comfort with new technologies and tools
- Professionalism, emotional intelligence, and trust

The full salary range for this role is CAD 96,900 to 114,000 to 131,100. Salary bands may differ by location and currency; benefit offerings may vary by location. We aim to hire candidates within the minimum to midpoint of the full range, with some adjustments for internal equity and performance.
