Event Coordinator – Meetings & Congresses
Location: Remote (U.S. – Must work Eastern Time hours)
Pay Rate: $40.00 – $50.00 hourly
Schedule: Monday–Friday | 30–40 hours per week | Standard EST business hours
Job Type: Temp | 9‑month assignment
Eastridge Workforce Solutions is hiring for an organized and detail‑oriented Event Coordinator – Meetings & Congresses to support a leading organization. This fully remote contract role provides administrative, documentation, and logistical support for internal meetings, congresses, and cross‑functional initiatives.
This is an excellent opportunity for someone with administrative or event coordination experience who thrives in structured environments, enjoys working with detailed processes, and can manage multiple priorities with professionalism and follow‑through.
Responsibilities- Administrative & Documentation Support
- Prepare and route congress forms, applications, and compliance documentation
- Maintain registration lists, travel trackers, and congress documentation
- Organize and manage files in SharePoint with accurate naming and version control
- Draft agendas, meeting notes, and follow‑up action logs
- Maintain structured file retention processes
- Scheduling & Coordination
- Manage calendars and coordinate meeting logistics
- Support scheduling for cross‑functional meetings and congress activities
- Maintain master documents for registration, travel, and rooming lists
- Coordinate invoice routing and payment tracking with Finance
- Support Legal and Compliance document workflows
- Presentation & Materials Support
- Create and update PowerPoint presentations summarizing logistical details
- Prepare meeting materials, document bundles, and attendee packets
- Process & Tracking Support
- Track key deadlines using structured checklists
- Follow up with internal stakeholders to ensure deliverables are completed
- Maintain trackers, logs, and status updates
- Required:
- 1–3+ years of administrative, coordination, or event support experience
- Strong organizational skills with exceptional attention to detail
- Proficiency in Microsoft Excel, PowerPoint, Teams, and Share Point
- Clear written and verbal communication skills
- Ability to manage multiple tasks simultaneously
- High level of reliability and professionalism
- Preferred:
- Experience supporting meetings, events, or congress administration
- Familiarity with Legal, Compliance, or Finance document routing processes
- Experience in a corporate or regulated environment
- Education:
- College degree preferred but not required
- Additional Details:
- Fully remote (must be available during Eastern Time business hours)
- 9‑month contract assignment (no conversion; potential extension based on business needs)
- Initial onboarding may require use of personal laptop until company equipment is provided
