Position: Entry-Level Administrative Assistant (Remote)

Position Overview

We are seeking a highly organized, dependable, and detail-oriented Entry‑Level Administrative Assistant to join our growing remote operations team. This position plays a critical role in supporting administrative workflows and operational processes across regional teams serving the MENA region, including the UAE, Qatar, and Saudi Arabia.

As a Remote Administrative Assistant, you will contribute to the efficiency of day‑to‑day business operations by maintaining organized records, updating internal trackers, monitoring workflow progress, and ensuring documentation standards are consistently met. You will help create clarity, reduce operational friction, and support teams by ensuring information is complete, accurate, and accessible.

No extensive prior professional experience is required. This is a true entry‑level opportunity with structured guidance and training. Success in this role depends on strong attention to detail, consistency, organizational discipline, accountability, and clear written communication—especially when identifying missing or unclear information.

Key Responsibilities Administrative Data Management & Record Keeping
  • Updating and maintaining spreadsheets and internal databases on a daily basis using Google Sheets or Microsoft Excel
  • Reviewing data entries for completeness, formatting consistency, and accuracy
  • Standardizing information across records (names, phone numbers, email formats, region identifiers, internal notes)
  • Identifying duplicate records, obvious errors, inconsistencies, or missing fields
  • Flagging incomplete or unclear data for clarification and follow‑up
  • Ensuring structured file naming conventions and folder organization
  • Supporting reporting functions by maintaining reliable and well‑organized datasets
  • Maintaining accurate logs of updates made and corrections implemented
Task & Administrative Request Coordination
  • Reviewing incoming administrative requests and categorizing them according to established workflows
  • Assigning or routing tasks to the appropriate team members
  • Tracking task progress from initial assignment through final completion
  • Following up on overdue, stalled, or incomplete items
  • Maintaining clear documentation of task status and updates
  • Communicating clearly when information is missing or when clarification is required
Tracking Systems, Logs & Reporting
  • Updating operational trackers for completed, pending, and in‑progress work
  • Logging daily activities including changes made, issues identified, and follow‑up items
  • Preparing brief daily or periodic progress summaries
  • Monitoring recurring data issues or process gaps
  • Escalating patterns that indicate workflow inefficiencies
  • Supporting internal reporting processes with organized, up‑to‑date documentation
Scheduling & Coordination Support
  • Confirming availability across teams
  • Updating calendars based on provided instructions
  • Sending reminders for deadlines or required steps
  • Tracking onboarding progress, checklist completion, or milestone achievement
  • Supporting internal coordination efforts to prevent missed steps
Quality Assurance & Documentation Standards
  • Reviewing work prior to submission for compliance and formatting consistency
  • Maintaining standardized folder structures and naming conventions
  • Ensuring documents remain accessible, organized, and easy to locate
  • Supporting internal process documentation updates when necessary
  • Helping maintain SOP (Standard Operating Procedure) compliance
