We are seeking a highly organized and proactive Executive Assistant to support a President-level executive. This mid-level role requires a detail-oriented professional who thrives in a fast-paced environment and can manage competing priorities with discretion and professionalism.
The Executive Assistant will serve as a trusted partner, ensuring efficient daily operations, seamless communication, and strong coordination across internal teams.
Key Responsibilities- Provide comprehensive calendar management, scheduling, and meeting coordination
- Manage executive communications, including drafting correspondence and screening inquiries
- Prepare reports, presentations, and briefing materials for leadership meetings
- Coordinate domestic and occasional international travel, including detailed itineraries
- Track action items, follow-ups, and strategic initiatives on behalf of the President
- Support preparation for executive meetings with retail client partners and OEM providers
- Assist with confidential documentation, contracts, and executive-level reporting
- Liaise with internal leadership, sales teams, marketing, and technical teams to ensure alignment
- Support planning and coordination of leadership events and partner engagements
- Maintain organized digital and physical filing systems
- 5+ years of experience supporting senior leadership (Director, VP, or President-level preferred)
- Post-secondary education in business administration or related field preferred
- Exceptional organizational and time management skills
- Strong written and verbal communication abilities
- High level of discretion and professionalism handling confidential information
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Experience in IT, retail technology or fast-paced sales organizations considered an asset
