Job SummaryThe Administrative Services & Security Administrator is a multifunctional role, providing administrative and security support across multiple departments, including Security, Executive Leadership, and Corporate Operations. This role encompasses responsibility for both front-facing administrative operations and internal security-related functions.
The Administrative Services & Security Administrator operates with a high degree of organization and professionalism, demonstrating the ability to learn processes quickly, work with minimal supervision, and adapt to evolving organizational needs. The position requires sound judgment, discretion in handling sensitive information, strong written communication skills, and the flexibility to support shifting operational priorities.
Primary Responsibilities Administrative Support- Manage complex calendars and schedule meetings across departments.
- Coordinate comprehensive travel arrangements including flights, hotels, and ground transportation.
- Prepare, edit, and format professional documents, reports, presentations, and spreadsheets.
- Maintain organized filing systems (electronic and physical).
- Process expense reports.
- Support special projects.
- Handle sensitive corporate information with discretion and confidentiality.
- Answer and route incoming calls; greet and assist visitors professionally.
- Coordinate mail services and office supply inventory.
- Assist with facilitation and administration of the visitor management system.
- Support access control systems, CCTV, and intrusion detection systems in coordination with the Security team.
- Assist with badging, escorting visitors, and maintaining compliance with facility access procedures.
- Provide backup security coverage as required.
- Support documentation and recordkeeping associated with security compliance programs.
- Will perform relevant additional duties as assigned.
- High School diploma required;
Bachelor's degree preferred.
- Minimum 2 years of experience in a security-related or administrative operations role.
- Minimum 4 years of experience in an administrative role supporting executives;
Bachelor's degree may be substituted for experience. - Experience with access control and CCTV systems.
- Working knowledge of the NISP and Industrial Security practices preferred.
- Computer proficiency.
- COMSEC Custodian certification or equivalent experience preferred.
- Strong analytical, organizational, and documentation skills.
- Ability to handle classified information with discretion and integrity.
- Requires constant alertness and situational awareness.
- U.S. Citizenship required.
- Primarily indoor, office-based environment.
- Frequent interaction with internal and external stakeholders.
- Exposure to loud noises and office equipment.
