JobPurpose
As our Culture and Office Administrator, you will wear two very important hats. You’ll be the operational engine that keeps our physical (and virtual) office running smoothly, and the creative spark behind our team engagement, events, and internal community.
This role requires an on-site presence in our Columbia, MD office in order to efficiently support the needs of our workforce and office space. Some flexibility is available for occasional remote work (up to 1 day/week).
ResponsibilitiesOffice Operations & Logistics
- General Operations:
Manage the front-of-house experience, greeting guests and ensuring the office is always "tour-ready." Manage multi-line phone system, deliveries, and inquiries. - Supply Chain Management:
Keep the kitchen stocked, the tech cabinet organized, and the inventory lists up to date. You’ll manage relationships with all office vendors and work to optimize processes and procedures. - Space Management:
Act as the primary point of contact for building management, maintenance, and security. Proactively manage space needs for employees. - Onboarding Concierge:
Work with IT to ensure systems are prepared and shipped for new hires, ensuring they have their swag, tech, and a warm welcome on Day 1.
Culture & Community
- Event Architect:
Plan and execute everything from weekly lunch and learns and employee events to providing support for company and client onsites. - Recognition Champion:
Manage our internal celebrations (birthdays, work anniversaries, life milestones) to ensure every team member feels seen. - Internal Comms:
Keep the team informed and inspired through announcements, newsletters, or digital signage. - Culture Champion:
Actively look for ways to improve the employee experience, spearhead initiatives, and serve as a connector between individuals and teams. Assist in the development of employee surveys and aid in data analysis. - Onboarding Support:
Work with HR team to create new employee onboarding schedules and support orientation activities. Facilitate onboarding sessions as needed.
- Tackle the coordination and logistical support for meetings and events for CEO.
- Perform photocopying, mailing, filing and faxing duties as needed or requested for CEO.
- Schedule travel for CEO and executives as required.
- Support Board meetings, executive on-sites, and other CEO attended events.
- 3+ years of experience managing the employee experience in an office setting.
- Working understanding of human resource principles, practices, and procedures required.
- A Natural Connector:
You genuinely enjoy interacting with people and can build rapport with anyone from the CEO to the delivery driver. - Hyper-Organized:
You’re the person who has a "system" for everything. Chaos doesn t stress you out; it gives you a puzzle to solve. You can work with interruptions and still get the job done. Excellent time management skills are required. - Proactive:
You don’t wait to be told what to do. If you see a lightbulb out or a process that’s broken, you fix it. Flexibility/can do attitude is a must for this role. - Creative Flair:
You have an eye for detail and design, whether it’s decorating the office for a theme or making a slide deck look sharp. - Systems
