Office Administrator/ Coordinator
Location: Zürich
Your area of responsibility
- Oversee front desk operations and ensure a professional and welcoming visitor management experience at our Zurich office located at Paradeplatz 5
- Welcome guests and clients, offer beverages, and accommodate their requests while acting as the office barista and presenting the company in the best possible manner
- Serve as the main point of contact for employees regarding all office‑related inquiries and daily operational needs
- Maintain strong collaboration with teams across departments by distributing incoming mail and deliveries promptly and accurately
- Ensure smooth daily operations by managing office supplies, including ordering stationery, groceries, and maintaining appropriate stock levels
- Handle all mail, courier and DHL shipments, ensuring timely, cost‑efficient, and reliable delivery of documents and packages
- Keep the office in excellent condition (“tidy and shiny”), addressing ad‑hoc needs in coordination with our facility management partners
- Provide administrative support for onboarding and offboarding processes, as well as general administrative tasks as needed
- Experience in a similar position ideally within an international environment
- Previous barista experience is a plus
- Strong interpersonal and verbal communication skills as well as excellent organizational and problem‑solving skills
- A positive attitude, an independent work style, reliability, commitment, attention to details and a high level of confidentiality
- Pro‑active and hands‑on approach, eagerness to constantly learn and face new challenges within a dynamic and fast changing environment
- Fluency in German and English is a must, additional languages are a plus
