** Pay Range**$61,000 - $76,000 (Commensurate with experience)
The Executive Administrative Project Coordinator provides high-quality executive administrative and project coordination support to the Vice President and the Quality, Professional Practice and Education portfolio, working in close partnership with the VP. Operating within a continuous quality improvement framework, the role fosters strong relationships with clients, staff, service providers, and VHA leaders.  The Executive Administrative Project Coordinator effectively manages competing priorities, coordinates the VP’s schedule and supports the planning, execution, and monitoring of key initiatives led by the Quality, Professional Practice & Client Experience portfolios.

This includes tracking project timelines, following up with initiative leads, and supporting clear and timely communication.  This role requires the ability to navigate complex, time-sensitive and ambiguous situations with professionalism and sound judgment. Success in this position is supported by a proactive, adaptable and solutions-focused approach, enabling the team to remain organized, productive and responsive. The role will continue to evolve to meet the changing needs of the portfolio, ensuring staff and service providers are empowered and supported to deliver exceptional care.

** Key Areas of Accountability:
*** Provides administrative support to VP and department, handling sensitive and confidential matters relating to the daily activity of the division
* Coordinate and manage the VP's calendar, including establishing priorities and responses, scheduling appointments, meetings, and events, arranging travel plans, itineraries, and agendas
* Act as a trusted liaison between the executive and internal/external stakeholders, ensuring timely and professional communication
* Organize/coordinate major educational events offered by the department inclusive of connecting with external vendors/partners, booking rooms, creating budget, organizing participants, food etc.
* Support the VP in monitoring and reporting of department dashboard
* Coordinating tasks, deadlines and resources to ensure successful project outcomes
* Identify opportunities for process improvement and support implementation within a continuous quality improvement framework
** Key Skills, Experience and Behaviors required for this position:
*** Post-secondary office administration diploma
* Bachelor’s degree in a health-related care discipline or business degree is an asset
* A minimum of five years of experience in assistance and support at a senior management level and/or 3 years of project management/coordination role experience, preferably in health-related sector
* Project Management education is required, and a Project Management Professional (PMP) certification is preferred
* Experience in leading and supporting project teams
* Excellent verbal and written skills
* Computer literacy using Microsoft office software applications and proficiency in word processing, spreadsheets,…
