About This
Location:
Our Home Office is located in the heart of Bloor West Village in Toronto, steps away from Jane Subway station. This role is a hybrid position with a requirement to attend the office 3 days a week, or more depending on the needs of the business. Effective March 2026, the role will transition to a fully office-based schedule of 5 days per week in the office.

About This RoleReporting to the Procurement Supervisor, Bronze and following Company and Procurement policies and procedures, the Ordering Administrator, Bronze reviews, submits, monitors and tracks bronze merchandise orders. In addition, duties include effectively managing communication with the bronze vendors and cemetery branches; and invoicing and account statement reconciliation as required.
Key Qualifications And Demonstrated Abilities- Minimum of grade 12 education or equivalent with one to two years of previous office administration, order processing, and customer service experience.
- Reliable individual with exceptional organizational skills.
- Excellent attention to detail and consistently high level of accuracy.
- Ability to multi-task, meet deadlines and be able to work independently as well as in a team oriented environment.
- Strong written and oral communication skills.
- Solid computer, keyboarding and data-entry skills with MS Office experience including Word, Excel, Outlook and Teams.
- Demonstrated strong customer service skills with the ability to partner with all levels of the organization.
- Exemplifies Arbor Memorial’s values of integrity, trust, teamwork, belonging and excellence.
- Reviews all order forms and design forms for custom products for accuracy and completeness. Follows up with branches on merchandise orders that are inaccurate and/or incomplete.
- Places and submits: custom orders, purchase orders, approved sketches, quotes, requests and revisions to vendors.
- Monitors order status and updates order details in Arbor systems.
- Communicates with vendors and branches concerning order issues, discrepancies, inquiries, and status in a timely manner.
- Ensures that all orders have been received and processed on a timely basis. Investigates and resolves issues when applicable.
- Receives orders when applicable and follows up with vendors and/or Cemetery Operations team on outstanding deliveries.
- Processes vendor invoices for payment, follows up on invoice discrepancies, and reconciles statements.
- In conjunction with the Procurement Supervisor, assigns or transfers inventory, issues work orders to Property and schedules pick and deliveries when applicable.
- Monitors the shared inbox and forwards or files emails and vendor documents.
- Responds to policy and procedural inquiries from the branches and consults with the Procurement Supervisor when required.
- Runs, reviews, issues and reconciles monitoring reports on a regular basis.
- Measures supplier performance and report/escalate issues and risks to the operation.
- Other duties may be assigned as required.
