Program Assistant - Family Lifestyle Program - Remote - (260000CS)

Description

The Family Lifestyle Program (FLiP) is a grant-funded initiative that builds clinical–community partnerships to improve access to food, nutrition, and physical activity resources for families experiencing food insecurity or diet-related chronic disease. FLiP includes a Patient Navigator (PN) Program and FLiPRx Produce Prescription intervention.

Responsibilities
  • Work remotely to support PN volunteers, referred families, faculty leadership, and community partners.
  • Manage referrals in REDCap and Mosio (HIPAA‑compliant platforms) and ensure families are contacted within one week.
  • Provide direct navigation (~8 hrs/week).
  • Update resource guides, support bi‑annual volunteer trainings, send monthly reports, and maintain partner workflows.
  • Assist staff in the daily execution of program tasks and projects, providing administrative support to the Program Manager and Program Coordinator.
  • Maintain office files, complete purchase and reimbursement requests, and manage financial records.
  • Research funding prospects, draft communications with prospective donors, and manage logistics for fundraising events.
  • Assist with special projects related to program goals and mission, including coordinating volunteer efforts.
  • Occasionally maintain statistics regarding program performance and research databases in compliance with IRB requirements.

  • Provide excellent customer service to the clinical team, patient families, and referring physicians.
  • Help families navigate the complex hospital system and coordinate care.
  • Act as an advocate for patients and families, facilitating service delivery and removing barriers to care.

  • Speak up when team members exhibit unsafe behavior or performance.
  • Continuously validate and verify information needed for decision making or documentation.
  • Stop in the face of uncertainty and take time to resolve the situation.
  • Demonstrate accurate, clear, and timely verbal and written communication.

Qualifications Minimum Education

High School Diploma or GED (Required)

Minimum Work Experience

1 year performing administrative tasks (Required)

Required Skills/Knowledge
  • Proficient in all Microsoft Office applications, including Outlook, Excel, and Access.
  • Ability to produce quality reports under tight deadlines.
  • Ability to maintain composure and professionalism in a busy clinic environment.
  • Web design and desktop publishing skills a plus.
