The Opportunity

We are currently seeking an Administrative Assistant II to join our Fixed‑Plant Maintenance team in Voisey’s Bay, Labrador, a fly‑in fly‑out operation. This permanent position will be on a Monday to Friday schedule working primarily from a home office location with infrequent visits to the Voisey’s Bay Mine Site.

As an Administrative Assistant II, you will provide administrative assistance daily to the Fixed‑Plant Maintenance, Utilities Maintenance, Reliability, and Integrated Planning and Scheduling Departments, as well as support other departments when needed. This includes scheduling/organizing meetings, travel (domestic & international), visa requirements, vacation scheduling, filing, typing, mail/file distribution, invoice management, maintaining contact with all off‑site offices, and liaising with head office and other business locations.

Key Responsibilities
  • Communicate with contacts at all levels inside and outside the organization, providing and obtaining information from other managers and directors or outside representatives.
  • Receive and screen telephone calls, letters, and/or visitors, answering routine questions and furnishing information to save manager's time.
  • Schedule appointments and coordinate arrangements for meetings, conferences, and travel (flights, car rentals, hotel bookings).
  • Organize and maintain files of immediate supervisor's correspondence and records, and follow up on pending matters.
  • Draft and type routine letters and memoranda from specific instructions, and prepare regular correspondences, reports, and presentations.
  • Produce a variety of correspondence, reports, and presentations using appropriate software for word processing, graphics, and spreadsheets.
  • Process invoices for payment into the SAP system and maintain an invoice filing system; ensure prompt payment to suppliers with agreed timelines and investigate and resolve any issues arising.
  • Work independently within the scope as determined by the immediate supervisor.
