Part‑Time Office Coordinator
You'll be the only coordinator in your hub, working independently with limited oversight. You'll make decisions without constant check‑ins, handle 15+ daily interruptions, and solve problems before they become disruptions.
This role is 70% operations, 30% culture. Operations always come first. Door management, supply inventory, vendor invoices, and budget tracking. These aren’t glamorous, but they’re essential. If you need structure, predictability, or close management, this isn’t the right fit.
Your Impact Starts Here
You’ll be the operational backbone of your hub office. When you’re doing your job well, teams don’t think about logistics. They can focus on building, collaborating, and moving fast.
Office Operations
Keep the office running: supplies stocked, space clean, equipment functional
Manage door coverage and visitor experience (expect 15+ daily interruptions)
Coordinate weekly lunches, snacks, and beverages
Triage office requests through the ticketing system
Partner with building management and vendors (last‑minute requests happen, vendors flake, plans change)
Budget & Vendor Management
Own monthly budget and vendor relationships
Find cost savings without compromising experience
Submit accurate budget reports
In‑Office Experience & Events
Plan and execute monthly events (20 to 100 people)
Support new hire onboarding and welcome
Create moments that make in‑office days worth it
Proactive Problem Solving
Spot issues before they become problems
Build systems that reduce firefighting
Bring options, not just problems
AI‑Enabled Operations (Required)
Use AI tools to streamline operational workflows (e.g., vendor research, budget tracking, event planning, request triage)
Look for opportunities to automate manual tasks and increase operating velocity
Deliver at least one AI‑improved workflow within your first quarter that measurably improves office operations
The Foundation for Success
2+ years in office coordination, workplace experience, facilities, hospitality, or similar roles
Budget and vendor management experience
Event planning experience (20 to 100 people)
Operational rigor: You notice when supplies run low, create checklists, document processes, and follow through without reminders
Independent worker: You make decisions without constant check‑ins and bring solutions, not questions
Solutions‑focused: You stay positive in chaos and focus on fixes, not complaints
Tech‑savvy (Google Workspace, Slack, ticketing systems)
AI fluent: You experiment with AI tools and apply them to work (we’re an AI‑first company)
Reliable Monday to Thursday in‑office attendance
