Purpose
Execute the administration role within the dedicated administration team to support the relevant business needs. Daily responsibility towards the administration tasks including operational data validation and data updates in the relevant software systems. Providing all the assigned tasks are executed in compliance with relevant procedures and performance measures. Ensuring the data and the documents produced are up to date, traceable and compliant with the contractual and/or legislative obligations.
Ensuring all assigned tasks are executed strictly and the business interests of the client are protected. Providing any confidential information line with Data Protection legislation is treated properly and any concerns are raised immediately with the line manager.
- Compliance with all Health and Safety policies and procedures
- Providing all daily, weekly, monthly, etc. reporting is executed as per the specifications and as assigned by the line manager.
- Facilitating minute taking, report typing, correspondence handling, etc.
- Ensuring all administration tasks assigned by the line manager related to the operational sites and facilities are executed with the required quality and in a timely manner.
- Understanding the specific sites administration needs and requirements and being able to execute any relevant administration task.
- Providing data updates and data administration with regards to the relevant software systems – i.e. ECHO, WIMS, etc. – to support the business needs at all times.
- Processing workbooks, timesheets, etc. to cover the business needs in a timely manner or to the specified SLA/business rules.
- Sharing client values and incorporate them in the daily work and when handling all situations/tasks related to the role.
- Compliance with all client policies and procedures.
- Timely completion of the assigned tasks
- Quality of data handling and data inputs
- Quality of the provided reports (generated by a system but need sense‑checking)
- Must have demonstrated presentation, facilitation skills and the ability to interact and communicate with management and staff at all levels.
- To be able to demonstrate excellent team working and organisational skills.
- Ability to work with big data pools.
- Ability to work flexibly as part of a larger team and cover additional ad‑hoc tasks when required.
- Some tasks may require remote working / sites based offices.
- Excellent skills in MS Office (to include at least intermediate Excel level).
