Initial Engagement: Part‑Time (Minimum 10 hrs/week, shared resource)

ROLE OVERVIEW

We are seeking a highly organized, proactive, and versatile Executive & Operations Virtual Assistant to support two entrepreneurs managing multiple ventures across different industries:

  • Startup Toy E-Commerce Business (UK‑based, manufacturing in India, operating from Dubai)
  • Recruitment Business
  • Charity Organization
  • This role requires someone who can wear multiple hats — admin, operations, basic finance, e‑commerce support, email marketing setup, and recruitment admin support. The ideal VA is detail‑oriented, commercially aware, tech‑comfortable, and able to bring initiative and structure into growing businesses.

    CORE RESPONSIBILITIES General Administrative Support (Across All Businesses)
    • Calendar coordination & task tracking
    • Form submissions & registrations
    • Document organization
    • Email management support (if required)
    • Research tasks
    • Process documentation
    • Weekly reporting of completed tasks
    • Supporting Monday check‑ins & weekly planning
    Finance & Basic Bookkeeping Support

    (No advanced accounting required)

    • Maintaining Excel/Google Sheets trackers
    • Tracking business income & expenses
    • Basic profit/loss trackingi>
    • Updating financial spreadsheets
    • Organizing receipts/invoices
    • Creating simple financial summaries
    Required Skills
    • Strong Excel/Google Sheets capability
    • Comfortable with formulas & basic calculations
    E-Commerce & Shopify Support (Toy Business)
    • Basic Shopify updates & tweaks
    • Product upload support
    • Minor edits to product descriptions
    • Monitoring store backend
    • Assisting with order tracking admin
    • Supporting product launch next month
    Preferred
    • Shopify familiarity
    • Understanding of product‑based businesses
    Email Marketing Setup & Support
    • Assisting with email marketing setup (Klaviyo preferred)
    • Newsletter formatting
    • Setting up basic email flows
    • Supporting launch email campaigns
    • Uploading blog content to website
    • Posting 2 blog posts per month
    • Formatting and distributing newsletters
    Recruitment Admin Support (Sahil’s Business)

    • CRM/data organization
    • Process automation assistance
    • General recruitment admin tasks
