We are seeking a highly organized, proactive, and versatile Executive & Operations Virtual Assistant to support two entrepreneurs managing multiple ventures across different industries:
This role requires someone who can wear multiple hats — admin, operations, basic finance, e‑commerce support, email marketing setup, and recruitment admin support. The ideal VA is detail‑oriented, commercially aware, tech‑comfortable, and able to bring initiative and structure into growing businesses.
CORE RESPONSIBILITIES General Administrative Support (Across All Businesses)- Calendar coordination & task tracking
- Form submissions & registrations
- Document organization
- Email management support (if required)
- Research tasks
- Process documentation
- Weekly reporting of completed tasks
- Supporting Monday check‑ins & weekly planning
(No advanced accounting required)
- Maintaining Excel/Google Sheets trackers
- Tracking business income & expenses
- Basic profit/loss trackingi>
- Updating financial spreadsheets
- Organizing receipts/invoices
- Creating simple financial summaries
- Strong Excel/Google Sheets capability
- Comfortable with formulas & basic calculations
- Basic Shopify updates & tweaks
- Product upload support
- Minor edits to product descriptions
- Monitoring store backend
- Assisting with order tracking admin
- Supporting product launch next month
- Shopify familiarity
- Understanding of product‑based businesses
- Assisting with email marketing setup (Klaviyo preferred)
- Newsletter formatting
- Setting up basic email flows
- Supporting launch email campaigns
- Uploading blog content to website
- Posting 2 blog posts per month
- Formatting and distributing newsletters
- Linked In admin support
- Basic Linked In automation setup
- Recruitment admin processes
- Supporting candidate tracking
- CRM/data organization
- Process automation assistance
- General recruitment admin tasks
- Recruitment industry experience
- Linked In automation experience
- CRM familiarity
- Helping streamline workflows
- Supporting automation initiatives
- Creating SOPs
