PrimaryResponsibilities
Administrative Record Maintenance:
Manage and update structured administrative records that support reporting and internal operations. Work daily with spreadsheets in Google Sheets or Microsoft Excel, review entries for completeness and formatting consistency, correct obvious discrepancies, standardize naming conventions, regional identifiers, and folder structures. Identify missing or unclear data and flag it for follow‑up, maintaining clean, accurate datasets.
Workflow Coordination Support:
Assist in organizing incoming requests and ensuring tasks are properly categorized within established internal systems. Route assignments to appropriate team members, track task progress, and follow up on incomplete or delayed items. Communicate written clarifications or requests for additional information to maintain transparency and accountability across distributed teams.
Operational Tracking and Reporting:
Maintain accurate trackers that reflect ongoing, completed, and pending work. Log updates, document issues, and record items requiring further attention. Periodically prepare brief summaries outlining task progress and outstanding items, identify recurring data inconsistencies or workflow inefficiencies, and elevate them for continuous operational improvement.
Scheduling and Administrative Coordination:
Provide light coordination support such as updating shared calendars, confirming availability, sending deadline reminders, and tracking onboarding steps or project milestones. Ensure administrative timelines move forward smoothly with careful organization and consistent follow‑through.
Documentation and Quality Standards:
Review work prior to submission to ensure alignment with internal formatting standards and procedural guidelines. Keep shared folders organized and ensure documentation remains accessible and consistently structured to preserve operational efficiency. Adhere to standard operating procedures at all times.
Performance Expectations:
Demonstrate high accuracy with minimal errors, steady daily productivity, and dependable task completion. Work independently in a remote setting while maintaining accountability.
