We're looking for an Administrative Assistant II who is more than a scheduler - we're seeking a trusted partner who brings clarity, organization, and calm to a fast‑moving environment. In this role, you'll support leadership by coordinating day‑to‑day operations, managing communications, and ensuring work flows smoothly and efficiently.
In your first months, you'll make an immediate impact by streamlining scheduling and communication workflows, organizing key projects, improving documentation and processes, and serving as a steady, reliable point of contact during high‑priority or time‑sensitive situations. You'll help create order, remove friction, and keep leaders focused on what matters most.
This role is ideal for someone who delivers results in dynamic and rapidly changing conditions, balances urgency with thoughtful execution, communicates with professionalism and clarity, handles sensitive information with discretion, and proactively solves problems before they escalate.
What You'll Do
* Manage complex calendars, coordinate meetings, and oversee logistics
* Prepare reports, presentations, meeting materials, and correspondence
* Support internal and external communications with clarity and professionalism
* Organize documents, files, and processes to improve efficiency
* Assist with special projects and cross‑functional initiatives
* Proactively identify conflicts, gaps, or issues and resolve them before they escalate
* High School Diploma or equivalent
* 5-8 years of related experience supporting leadership in a fast‑paced environment
* Strong organizational skills, attention to detail, and the ability to prioritize and manage multiple tasks
* Excellent written and verbal communication skills with a customer‑service orientation
* Proven ability to handle confidential information with discretion
* Advanced proficiency in Microsoft Outlook, Word, One Note, Excel, PowerPoint, SharePoint, and Adobe Professional
* Ability to work independently, complete work with limited supervision, and serve as an informal resource to less‑experienced associates
* Strong problem‑solving skills with the ability to manage shifting priorities and address non‑routine issues
* Candidates that live within a commutable distance from our St. Louis, MO home office location are expected to work in the office four days per week effective June 1, 2026. Before June 1, 2026, candidates that live within a commutable distance from our Tempe, AZ and St. Louis, MO home office locations are expected to work in the office three days per week, with preference for Tuesday through Thursday.
