Position: Entry-Level Administrative Coordinator - Customer Assistant (Remote)

We're recruiting a Remote Junior Administrative Coordinator to reinforce and elevate our day to day business execution across the EU & MENA regions. This position suits someone who likes structured tasks, predictable workflows, and staying on top of details while juggling several small action items that keep operations running smoothly in the background. You'll contribute by keeping information accurate, maintaining up to date trackers, and ensuring key administrative items are completed correctly and within deadlines.

At the core of this role is order, precision, and reliability
. You'll support the team by managing and refreshing spreadsheets, reviewing and verifying records, following tasks through from start to close, arranging files and notes, and making sure every action is recorded properly. When information is clean and easy to retrieve, teams move faster-your work will directly improve that speed and clarity.

Responsibilities
  • Data input, updates, and record upkeep
    • Check spreadsheets and internal databases daily, revising entries based on new updates, edits, or team guidance.
    • Apply uniform formatting across records (names, emails, phone numbers, countries, company information, internal notes).
    • Detect and remove duplicates, consolidate repeat entries, and fix clear mistakes (wrong countries, invalid phone formats, mismatched fields).
    • Verify all required fields are completed correctly and flag missing or unclear items for follow up.
    • Keep records dependable so customer facing, operations, and coordination teams can work quickly without confusion.
    • Maintain consistent structures so filters, reporting, and search functions work effectively.
  • Inbox assistance and task flow support
    • Triage incoming requests by sorting, tagging, and categorizing items (admin needs, follow ups, approvals, document requests, urgent actions).
    • Direct requests to the right person and record the minute on the tracker to ensure nothing slips through.
    • Monitor progress through completion by checking status, updating notes, and confirming final steps are done.
    • Send nudges for pending items, missing files, incomplete forms, or overdue actions.
    • Keep communication polished, direct, and professional so issues get resolved faster.
  • Tracking, reporting, and end of day updates
    • Maintain daily trackers (new entries created, entries reviewed, entries corrected, tasks closed, tasks pending, follow ups needed).
    • Write short end of day updates summarizing what was completed and what needs attention next.

      Call out blockers (missing details, unclear instructions, approvals needed) so the team can address them quickly.
    • Spot repeating issues (frequent missing fields, recurring formatting problems, common errors) and share them to help refine processes.
    • Support visibility and accountability by keeping trackers tidy, accurate, and consistently updated.
  • Scheduling and coordination (light support as needed)
    • Provide basic scheduling support by confirming availability, aligning timeslots, and updating calendars when asked.
    • Send confirmations and reminder messages to reduce missed steps and improve follow through.
    • Track attendance and completion for onboarding steps, training checklists, and internal process items.
    • Document updates clearly so anyone can quickly see what was booked, confirmed, or finalized.
  • Quality checks, documentation, and organization upkeep
    • Review spreadsheet updates before submission or handoff to confirm accuracy and completeness.
    • Follow naming standards across files, folders, sheets, and trackers so everything stays easy to locate.
    • Keep file systems clean and documentation organized so workflows stay smooth and information is accessible.
    • Maintain consistent, standardized records so operation teams can move faster with fewer errors and less back and forth.
