The Engagement Coordinator is responsible for converting accepted campers into confirmed attendees by removing administrative barriers, strengthening parent trust, and providing structured, high-touch enrollment support.
This role directly addresses documented enrollment growth points, including missing medical physicals, incomplete paperwork, and late-stage parent withdrawal. The coordinator serves as a primary support for families without an active selector mentor and ensures consistent follow-through from acceptance through bus departure. The position also provides targeted administrative and communication support to the Executive Director during high-volume periods.
This is an at-will employment position.
Essential Duties & ResponsibilitiesDetails by area:
- Enrollment and family follow up
- Serve as primary point of contact for parent/self-referred families
- Conduct reminder calls, texts, and emails regarding:
- o Missing forms
- o Physical exam deadlines
- o Transportation and departure logistics
- Use warm, scripted messaging aligned with camp values
- Identify and intervene with high-risk enrollment cases or escalate as appropriate
- 2. Administrative & Documentation Support
- Track enrollment progress, including forms, physicals, transportation, and confirmations
- Assist families with enrollment paperwork and requirements
- Help prepare, upload, and maintain enrollment packets and checklists
- Coordinate resources such as clinic referrals or deadline accommodations when appropriate
- Support mailings, outreach campaigns, and limited reporting needs related to enrollment or grants
- 3. Community Engagement & Trust-Building
- Conduct consistent outreach to parents/guardians, selectors, and community partners
- Provide bilingual communication or coordinate translation support as needed
- Address common parent concerns including safety, logistics, and first-time camp anxiety
- Attend community outreach events, alumni gatherings, and selector meetings as assigned
- Maintain culturally responsive and trauma-informed communication practices
- 4. Selector & Alumni Coordination
- Coordinate with school, alumni, and community selectors to support family engagement
- Document selector engagement and outcomes for leadership review
- Support knowledge-sharing and replication of best practices from high-performing selectors
- 5. Data Tracking & Reporting
- Maintain accurate enrollment records and progress tracking
- Provide weekly updates to the Executive Director on:
- o Enrollment status
- o Drop-off risk indicators
- o Completion rates and intervention outcomes
Possible support of Program Director with volunteer oversight at reunion or community outreach events.
Qualifications- Minimum 2 years of experience in related field
- Strong organizational skills and attention to follow-through
- Comfortable using spreadsheets, databases, or CRM-style tracking tools
- Excellent verbal and written communication skills
- Ability to handle sensitive family information with discretion
- Bilingual Spanish strongly preferred
- Ability to work at a computer for extended periods
- Ability to make frequent phone calls and participate in virtual meetings
- Ability to attend in-person meetings and outreach events as required
· $21-24 per hour, depending on experience
