This position is posted by Jobgether on behalf of a partner company. We are currently looking for a Legal Administrative & Client Intake Virtual Assistant (Criminal Defense) in Switzerland.
We are seeking a highly organized and detail-oriented Legal Administrative & Client Intake Virtual Assistant to support a criminal defense practice. In this fully remote role, you will manage client intake, case administration, calendaring, filings, discovery organization, and ongoing client communication. You will work closely with the attorney to ensure accurate documentation, timely correspondence, and smooth operational workflows. This position is ideal for someone with prior legal support experience who thrives in a structured environment, maintains professionalism under pressure, and handles confidential information with discretion.
You will play a key role in ensuring cases are efficiently managed and clients receive a high-quality service experience.
- Manage client intake processes, reviewing forms and entering information into case management systems.
- Maintain accurate client records, contact information, and case status updates.
- Support case administration, including document drafting, filing, and coordination with courts and agencies.
- Organize and maintain discovery materials and track deadlines to ensure consistency and compliance.
- Maintain and update attorney’s calendar, including court dates, client meetings, and deadlines.
- Communicate with clients to collect documents, confirm next steps, and provide updates professionally.
- Assist with billing, time entry, and general administrative tasks to support the law office’s operations.
- Prior experience in a law firm or legal support role (legal assistant, paralegal, intake specialist, or similar).
- Proficiency with case management systems (Clio preferred; training available).
- Familiarity with e-filing portals, court-related workflows, and document management tools.
- Strong written and verbal English communication; professional phone demeanor in high-stress situations.
- Excellent organizational skills and attention to detail, with the ability to handle confidential information.
- Comfort with Google Workspace, Microsoft Office, email, and online fax workflows.
- Spanish-speaking is a plus but not required.
