Overview
The Tippie College of Business is now accepting applications for the role of Faculty Recruitment Specialist. This position will provide comprehensive administrative support for Faculty Affairs. This role requires collaboration across all academic and non-academic departments, job candidates, and hiring committees. This position is eligible for a combination of on-campus and remote work when feasible; work arrangement options will be discussed during the hiring process.
A successful candidate will be a positive, dynamic self-starter, flexible to adapt to unexpected change, and able to make decisions in a fast-paced environment. The role involves interacting with stakeholders at all organizational levels, with job candidates and businesses, and conducting small group training classes for hiring committee members.
Responsibilities- Support and coordinate all logistics for faculty recruitment, including creating job descriptions and advertisements, submitting jobs for approval, coordinating day-of-interview logistics as the candidate’s main point of contact, drafting job offer letters, and processing related paperwork.
- Support the faculty affairs manager by electronically filing documents, uploading documents to e-Personnel, aiding annual review processes, and organizing shared documents.
- Coordinate in-person events (e.g., job interviews, new faculty orientation) including space access, catering, calendar coordination, and related logistics.
- Collaborate with the Tippie College of Business HR team and departments to coordinate faculty searches and serve as an administrator on faculty searches.
- Create faculty job requisitions in the Jobs@UIOWA system in compliance with Office of Civil Rights policies.
- Assist search chairs with submission of required documentation to request permission to interview and make offers to candidates in compliance with OCR policies.
- Post job advertisements on external outlets (e.g., Higher Ed Jobs).
- Conduct Jobs@UIOWA system overview training sessions with search chairs, as needed.
- Provide pre-interview scheduling, travel arrangements, event setup, scheduling and room reservations, calendar invites, and other requested logistics.
- Provide day-of support and guidance for candidate interviews; greet candidates, escort to meetings, keep the day on schedule, manage interview room setup and catering if applicable.
- Track the status of ongoing faculty searches and act as project manager for searches.
- Process catering invoices, travel invoices, and receipts with University Shared Services.
- Upload faculty files in e-Personnel (administrative letters, agreements, etc.).
- Draft faculty job offer letters in coordination with the DEO and Senior Associate Dean.
- Manage data in Microsoft Teams, One Drive, Excel, Salesforce, and other platforms used to track information.
- Compose logistical communications for departmental faculty participating in interview days, job candidates, and hiring committees.
- May provide direction, assignments, and feedback to student workers and/or staff.
- Education Requirement — Bachelor’s Degree or the equivalent combination of education and experience.
- Experience (1-3 years) and a working level of ability to carry out ongoing office administration tasks effectively and efficiently in support of individuals, teams, and/or units, including proficiency with computer software applications.
- Highly organized and detail oriented.
- Exceptional written and verbal communication skills.
- Ability to organize and manage multiple complex events/programs simultaneously to a successful conclusion.
- Ability to develop and strengthen working relationships with a population of varying perspectives through positive interaction and collaboration.
- Ability to work independently and as a team member to accomplish goals.
- Ability to move and position up to 20 pounds.
- Knowledge of University policies and procedures, including financial and human resources policies; experience with University electronic systems including HRIS, MAUI and Workflow processes.
