Position: Executive Assistant (Bilingual Spanish – English)

Overview

We’re looking for an Executive Assistant who can seamlessly support our executives in managing tasks, enhancing client engagement, streamlining operations, and driving marketing initiatives. Your role will be instrumental in ensuring the success and efficiency of our team.

Responsibilities
  • Manage calendars, appointments, meetings, and travel arrangements for executives
  • Use tools like , Asana, Trello, Zoom Workplace, Ring Central, or Hubspot to build and maintain systems for operational efficiency
  • Handle emails, phone calls, and other communications with professionalism
  • Assist in preparing and distributing reports, presentations, and key documents
  • Deliver exceptional client service by addressing inquiries and concerns promptly
  • Support multiple executives by managing their inboxes and schedules
  • Collaborate with team members to ensure smooth operations
  • Safeguard sensitive information with confidentiality and discretion
  • Continuously seek ways to improve administrative processes and boost team efficiency
Qualifications
  • 1-2 years of experience as an Executive Assistant or in a similar role, specifically supporting C-level executives
  • Bachelor’s Degree required
  • Bilingual proficiency: strong verbal and written communication skills in both Spanish and English
  • Tech-savvy with solid knowledge of Google Sheets, Excel, and CRM systems
  • Excellent organizational skills with the ability to manage multiple priorities and meet tight deadlines
  • High level of professionalism, discretion, and confidentiality when working with sensitive information
  • Ability to work independently and take initiative in problem-solving
  • Own Laptop or Desktop (8GB RAM, Core i5 or above & Microsoft Office) and with an internet connection of at least 10mbps
  • Available to work in US time zones
